Post-call notes that write themselves.
After every call recorded by your existing phone provider (GoHighLevel), IBIOS AI writes a plain-English summary covering who called, what was discussed, and what action is needed. Your team reads the summary — not the recording.
Visible in the call list, full record, and customer timeline. Editable with full audit trail. Searchable like any other IBIOS record.
Playing back a whole call to find one fact
A customer rings to confirm a delivery. Your team member checks the job notes, sees “discussed delivery” from a call last week, and needs to know what was actually said. The recording is several minutes long.
They scrub to the middle. Wrong section. Try the end. Still not clear. They give up and ring the customer back to ask again. The customer is not impressed.
With IBIOS call summaries, that fact is a quick read, not a full playback. Every call is summarised automatically. The relevant details are surfaced in plain English — no scrubbing, no guessing.
Summaries that work for your team
Designed for real-world call centre and showroom use — not a demo.
Plain-English output
Summaries are written to be read by a human at a glance, not parsed by software. Action items are stated clearly. Vague calls are described accurately as vague. The summary reflects the actual call, not a template.
Call list and customer timeline
Summaries appear in the call list so your team can triage recent calls without opening each record. They also appear on the customer timeline, giving an at-a-glance view of the entire conversation history with that customer.
Editable with audit trail
Staff can correct or extend any summary. The edit is saved with a timestamp and the editor’s name. The original AI output is retained. Both versions are visible in the call record for full transparency.
What does an AI call summary look like?
An example call summary from a bathroom trade enquiry — the kind of call your team receives every day.
AI-generated summary — Call ref CALL-00341 — 14:23, Tuesday
Mrs Patterson rang to follow up on Quote QUOT-0089. She is happy with the price for the en-suite but wants to check whether the Carron Quantum 1700 is available in a left-hand version before accepting. She was told the team would confirm by end of day Thursday. She also asked whether fitting was included in the quoted price — confirmed it is. No issues or concerns raised. Action: confirm left-hand variant availability with Carron by Thursday.
A summary like this is read at a glance, without replaying the call itself.
Who saves the most time with call summaries?
Anyone who needs to know what was said on a call without listening to it.
Managers reviewing missed calls
Open the call list after lunch, read the summaries of the calls that came in while you were out, and know exactly which ones need an immediate callback — without listening to any recordings.
Staff picking up someone else’s enquiries
A colleague is off sick and a customer rings back. Read the summary of their last call to understand the context before answering — no need to ask the customer to repeat themselves.
Sales teams tracking follow-up commitments
The call report notes what was agreed on the call, such as “call back Thursday with a revised price.” Action-item tracking is coming soon.
Business owners reviewing call quality
A weekly review of call summaries gives a faster sense of what customers are asking and what staff are promising than any other method short of listening to every recording.

Questions about automatic call summaries
How does automatic call summarisation work?
After each call ends, IBIOS runs the transcript through the AI summarisation pipeline. The AI reads the full transcript and writes a short plain-English summary covering: who called and why, what was discussed or promised, and any action required. The summary is stored in the call record field `call_recordings.summary` and appears immediately in the call list and on the customer timeline.
How long does summarisation take?
Summarisation runs automatically once transcription of the recording has completed, with no manual step. When the pipeline has finished, the transcript and the summary both appear on the call record, in the call list and on the customer timeline.
Where do I see call summaries?
In three places. First, the call list view shows the summary as a short preview under each call entry. Second, the full call record shows the complete summary alongside the transcript. Third, the customer timeline surfaces the summary for any call linked to that customer record, giving a chronological view of what has been discussed without opening each call individually.
Can I edit an AI-generated summary?
Yes. Every summary has an inline edit mode accessible to staff with the relevant permissions. Edits are saved as a staff-modified version and the original AI summary is retained for audit purposes. The customer timeline shows the current (possibly edited) version. This allows staff to correct or add context without losing the original AI output.
Are summaries searchable?
Yes. Summaries are indexed alongside transcripts in the IBIOS call search. Searching for a product name, customer reference, or promised action will surface both transcript matches and summary matches. Summary search is particularly useful because the AI uses normalised language — searching for “bath delivery” may surface a call where the customer said “when the tub arrives.”
Does summarisation work for very short calls?
Yes, with appropriate brevity. For very short calls — typically a caller who hung up or left a brief voicemail — the summary reflects what little was said: for example, “Caller asked for the showroom opening hours and was told 9am–5.30pm Monday to Saturday.” For calls with no intelligible audio, the summary records that transcription was not possible.
Which IBIOS product line includes automatic call summaries?
Automatic call summaries is part of the IBIOS Call Intelligence product line. It is built for UK tradespeople and electricians. See also: call transcription.
