For any business that does the work first, getting paid after the job is done can take longer than the job itself. You send an invoice by email. A week passes. You call. They promise to pay. Another week passes. You call again. Meanwhile, you are manually reconciling what came into the bank against what is outstanding in Xero.
IBIOS Accounts Sync removes two steps from this cycle. The first step it removes is the phone call: Pay by Link lets staff email a payment link to the customer, or paste it into their own message, or embeds a QR code in the quote PDF. The customer pays in their browser. No bank transfer delays, no cheque in the post.
Once payment is received, IBIOS marks the job as paid. Coming soon: the second step, manual re-entry, will go too, as IBIOS will push the invoice to Xero or QuickBooks automatically.
IBIOS is made by IBIOS Limited (NI743167), Northern Ireland. Xero and QuickBooks integration for UK trade businesses is coming soon and is not live yet; access is by waiting list and there is no free trial. What do people ask about Xero and QuickBooks sync?
Which accounting packages does IBIOS Accounts Sync work with?
Coming soon: Xero and QuickBooks Online. Accounting sync is not live yet. When it launches, IBIOS will push completed invoices and payments to your accounting package (one-way). Sage integration is not currently available. If you use a different accounting package, check with our team — additional integrations are on the roadmap.
What is pay-by-link invoicing?
You generate a payment link from the IBIOS job record and send it to the customer by email, or copy it into your own text message. The customer taps the link and pays by card in their browser — no account or app needed. Alternatively, a QR code can be embedded in the quote PDF for customers to scan in the showroom or at home.
Is IBIOS Making Tax Digital compliant?
IBIOS is not MTD filing software. It tracks VAT per transaction; your VAT returns are filed from your accounting package. The Xero and QuickBooks integration that will carry this data across is coming soon.
Do I still need Xero or QuickBooks if I have IBIOS?
Yes. IBIOS handles the operations side — customer records, jobs, quotes, orders, stock, and payments. Once launched (coming soon), Accounts Sync will push completed financial records to your accounting package. Your accountant continues to work in Xero or QuickBooks. IBIOS does not replace your accounting software.
Can I collect a deposit and then a final balance payment?
Yes. IBIOS supports split payments against a single job. Send a deposit link at quote acceptance and a balance link on job completion. Both are logged against the same job record. Syncing them to your accounting package is coming soon.
