Choosing job boards and task software for a UK trade business: a practical guide
Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.
How do you choose job boards software for a trade business?
Sketch the stages your work actually goes through, on paper, before you open any software. If the stages are clear, almost any board will do; if they are not, no board will fix it. Then choose for the people who use it every day, and for how close it sits to your customers and jobs.
- The stages your work moves through. A handful of lists that match real hand-offs, for example new, in progress, waiting on someone, done.
- What one card has to hold. A clear title, who owns it, a due date and the checklist that gets it done. Labels, comments and documents are there when you need them.
- Who uses it every day. Office, sales, warehouse and fitters. If the people doing the work will not open it, it will not stay current.
- Where it sits next to your other work. A board in the same system as your customers, quotes and jobs is opened far more often than one in a separate app.
- Who can see which boards. Some boards are for the whole team; some, such as hiring or supplier disputes, are not.
What is a job board actually for?
A board shows where every piece of work is, at a glance, and who has it. It suits work that moves through stages: snagging lists, remedial visits, showroom changes, supplier claims, marketing jobs and office admin.
It is not a replacement for your customer or job records. Quotes, orders and payments belong in the systems built for them; the board tracks the work around them.
What do IBIOS Boards do today?
IBIOS Kanban-Style Job & Project Boards are kanban boards built into the same system as your customers, quotes and stock. Each board has lists, each list has cards, and you move a card from one list to the next by drag and drop as the work progresses.
Every card can carry the detail the work needs, so nobody has to chase it through a separate email thread.
- Lists and cards, moved between lists by drag and drop.
- Labels to group and colour cards, for example by brand, job type or urgency.
- Assignees, so every card has a named owner.
- Comments on the card, so the conversation stays with the work.
- Attached documents, such as a supplier claim form, a drawing or a photo.
- Reminders against a card, so a due date is not quietly missed.
- Dependencies, so a card shows what it is waiting on before it can move.
- A calendar view of cards by date, alongside the board itself.
How do tasks fit alongside the boards?
Tasks are the personal to-do side of the same system. Each member of staff has a My Tasks list, and a task can be linked to the customer, job or quote it is about, so opening that record shows what is still to do.
Tasks are also on the IBIOS Android app, so staff out of the office can see and tick off their own list. The app is provided to IBIOS customers directly; an iPhone version is coming soon.
Why choose a kanban board built for trade businesses?
General-purpose board apps are good at boards and know nothing about your business. The card says "chase the tile delivery for the Smith job", but the job, the supplier order and the customer all live somewhere else, so someone copies details across and the two drift apart.
A board inside the system that already holds your customers, quotes, stock and orders removes that copying. The trade-off is that it is deliberately focused on running a trade business rather than every possible kind of project.
Why do team boards go stale?
Too many lists, cards nobody owns, and a board that lives in an app staff open once a week. Keep lists few, give every card an assignee, set a reminder on anything with a deadline, and review the board in a short weekly meeting until updating it becomes a habit.
What is not live yet?
AI agents that carry out multi-step work for you are coming soon in IBIOS, not live yet. Today the board tracks the work and your team does it.
Whiteboard, a standalone board app, a project-management suite or IBIOS?
How the common options tend to work out for a small trade business.
| Option | Best for | Watch out for |
|---|---|---|
| Office whiteboard | A team that all works in the same room. | Invisible to anyone out on a job, and no history once it is wiped. |
| Standalone kanban board app | Simple boards set up in minutes, with lists, cards and labels. | Another login and another place to look, separate from your customers, quotes and jobs, so details get copied across by hand. |
| Project-management suite | Long projects with detailed timelines and resourcing. | More structure than most small teams will keep up to date. |
| IBIOS Job & Project Boards | Boards, cards and tasks in the same system as your customers, quotes, stock and orders. | Early access by waiting list. Built for trade businesses rather than every kind of project; AI agents are coming soon, not live yet. |
What you need in place before you start
- A short list of the boards you need, and the lists on each.
- An owner for each board who keeps it tidy.
- A small set of labels everyone understands, agreed before people invent their own.
- Agreement on what goes on a card and what belongs in a customer or job record instead.
- A regular slot, even ten minutes a week, to review the board together.
What it costs
Board apps are usually one of the cheaper tools a business buys. The real cost is a second set of logins and a board that drifts away from the work because it lives somewhere staff do not otherwise go.
Founding prices for waiting-list members are explained on the pricing page. Boards can be used on their own or alongside the other IBIOS products.

What people get wrong
- Creating a list for every possible status.
- Cards without an assignee.
- Dozens of labels that mean different things to different people.
- Using the board as the customer record.
- Building boards for the manager instead of the people doing the work.
- Never archiving finished cards, so the board becomes a list of history.
