Choosing delivery and dispatch software: a practical guide for UK businesses

Written by the IBIOS team. IBIOS was built inside a working bathroom showroom in Northern Ireland, where it runs the business day to day. Last updated 18 October 2026.

How do you choose delivery management software?

IBIOS Delivery planning and customer delivery updates are coming soon, not live yet; delivery notes per job are available today. This guide covers choosing delivery and dispatch software in general. Start with how your goods actually go out: your own van, a courier, customer collection or a mix. The answer decides almost everything else.

  1. How goods leave you. Your own vans, couriers, collections, or deliveries straight from the supplier. Each needs different tools.
  2. Knowing a job is complete. Every item for the job arrived and checked before a delivery date is promised, not on the morning of the drop.
  3. Telling the customer. The date, a time window, and what happens if it changes. Most delivery complaints are really communication complaints.
  4. Proof of delivery. A delivery note signed, a photo, or a collection record, kept with the job.
  5. Planning the day. Which van, which drops, in which order. Route planning matters at volume; at small scale a clear list may be enough.
  6. What is live today. Ask to see the delivery features running with real jobs, not a demo route.

Do you need delivery software at all?

If all your goods go by courier, the courier’s own tools may be enough. Delivery software earns its place when you run your own vans, deliver large or fragile items, or have to coordinate a delivery with a fitting or installation date.

Your obligations when you deliver to consumers

Under the Consumer Rights Act 2015, which applies across the UK including Northern Ireland, goods sold to a consumer stay at your risk until they are in the customer’s hands (or someone they nominate). Unless you agree otherwise, you must deliver without undue delay and within 30 days.

That makes proof of delivery and a clear record of the agreed date more than admin: they are your evidence if something is damaged, lost or late.

What can IBIOS do for dispatch today?

Today, IBIOS Warehouse gives each job an order sheet showing what has been ordered and what has arrived, with a mark for when it is fully dispatched. That tells you a job is ready to go and when it went. Delivery notes per job are available today.

IBIOS Delivery planning and customer delivery updates are coming soon. It is planned to add a dispatch view of what is ready to go out and collection records per job as well. Alerts when a supplier delivery will miss your delivery date are also coming soon.

Paper run sheets, a courier platform, a route planner or IBIOS Delivery?

How the usual options tend to work out for a small business that delivers goods.

Paper run sheets and phone callsA single van with a regular driver. No proof of delivery on file and customers ringing to ask where their order is.
Courier booking platformParcels and pallets sent by carrier.Does not cover your own vans or tie the delivery to the customer job.
Route-planning appSeveral vans and many drops a day.Plans routes well but rarely knows whether the goods for each drop have actually arrived.
IBIOS DeliveryDispatch planned from the customer job, with delivery notes and collection records kept with it.Delivery planning and customer delivery updates are coming soon, not live yet. Today IBIOS keeps delivery notes per job and Warehouse marks a job’s order sheet fully dispatched.

What you need in place before you start

  • How each type of order goes out: own van, courier, collection or direct from supplier.
  • Your delivery terms: charges, time windows, access requirements and what happens on a failed delivery.
  • A delivery note format and who signs it.
  • A rule that a delivery date is only promised once every item has arrived.
  • Customer contact details that are current, for delivery updates.

What it costs

The costs of poor delivery are wasted trips, re-deliveries, damage you cannot prove happened after drop-off, and fitters standing idle because the goods did not arrive.

IBIOS Delivery planning is coming soon. Founding prices for waiting-list members are explained on the pricing page.

What people get wrong

  • Promising a delivery date before all the goods have arrived.
  • Not keeping a signed delivery note or photo.
  • Telling the customer the date but not the time window.
  • Buying a route planner when the real problem is knowing the job is ready.
  • Forgetting that goods stay at your risk until the consumer has them.
  • Planning around delivery features that are only on a roadmap. Ask what runs today.
