Coming soon: a cloud phone system that already knows your customers.
Everything on this page is planned and not live yet. The IBIOS cloud phone system will be a multi-line UK phone system built for UK businesses, logging every call — inbound and outbound — against the customer or supplier record. Today, IBIOS analyses the call recordings your existing GoHighLevel line already makes.
Coming soon: intent-based routing, click-to-call from any record, call recording, and an AI Receptionist for after-hours, on your existing UK number.
The phone system and the CRM should not be separate
A customer calls about their order. You take the call on your VoIP phone, then switch to the CRM to find their record, then open the call recorder to pull up the last conversation. Three systems. By the time you have the context, the customer has been left waiting.
After the call, someone needs to log the notes manually. Often it does not happen. The next person who speaks to that customer starts from zero.
Coming soon: in IBIOS, the phone system and the CRM will share the same database. When the phone rings, the customer record will appear before you pick up, and when the call ends, the log will already be written.
Coming soon: how will the IBIOS cloud phone system work?
Five planned steps from first ring to searchable call record.
Coming soon: your number connects to IBIOS
When it launches, your existing UK number — or a new one — will route into the IBIOS cloud phone system. No hardware to install; staff will log in via browser to take and make calls.
Coming soon: inbound calls routed by intent
Planned: the AI will classify each inbound call — sales enquiry, delivery chase, complaint, booking, or after-hours — and send it to the right team member or the AI Receptionist without keypad menus.
Coming soon: every call logged against the customer record
When IBIOS runs your calls, it will match each one to the customer record by phone number and log it automatically — who called, when, how long, what was said. No manual entry.
Coming soon: click-to-call from any record
Planned: staff will make outbound calls by clicking the phone icon next to any number in IBIOS — customer mobile, customer landline, supplier contact — with the call logged against the record when it ends.
Transcribed and summarised (recording by IBIOS coming soon)
Live today for existing GoHighLevel recordings: the transcript and a plain-English summary are attached to the customer record. IBIOS-run recording is coming soon.
Coming soon: what the IBIOS cloud phone system will include
Every capability below is planned and not live yet. When it launches, it will be part of the IBIOS platform rather than a third-party integration.
UK number (port existing or provision new)
Geographic and non-geographic UK numbers supported
Multi-line concurrent calls
No engaged tone while another call is in progress
AI-powered intent routing
Routes by what the caller wants, not which key they press
Click-to-call from any record
One click from customer, supplier, or job record
AI Receptionist (after-hours & overflow, coming soon)
Answers, responds, and logs when staff are unavailable
Call recording (coming soon)
Each recording filed against the customer and job
AI transcript and summary per call
Plain-English summary on every call record
Missed call urgency scoring
Ranks callbacks by business priority, not by time missed
Coming soon: routing, click-to-call and SMS in detail
All three are planned parts of the phone system and not live yet.
Intent-based call routing
Coming soon: instead of “press 1 for sales”, the caller says what they need and the AI classifies it (new enquiry, delivery chase, complaint, booking) and routes it to the right person with context. Each intent gets its own destination, configurable by time of day; overflow goes to the next free colleague or the AI Receptionist.
Click-to-call from any record
Coming soon: click the phone icon beside any number in IBIOS (customer, supplier contact or job) and the call connects with no dialling. When it ends, a call log (number, duration, time, notes) is written to the record; on a job it is logged against both the job and the customer. Unanswered calls are logged as a pending callback.
SMS from the record
Coming soon: send and receive texts from a customer, job or quote record on your IBIOS business number, with templates for confirmations, delivery updates and reminders pre-filled from the record. Every message and reply is logged automatically with the sender’s name, so business texts never live on personal phones.
Coming soon: why choose IBIOS over standalone VoIP?
Coming soon: one system — not phone system plus CRM plus call recorder
Many trade showrooms run separate systems: a VoIP provider, a CRM, and a call recorder. When the IBIOS phone system launches, the phone system and the CRM will share the same database, so calls will already be linked to customer records.
Coming soon: records update during calls, not after
Planned: the screen pop will fire the moment an inbound call arrives, showing the customer record before you pick up, and notes added during the call will be saved to the record when you end it.
Coming soon: AI Receptionist for after-hours
When it launches, the AI Receptionist will answer on the same number when your team is unavailable, handling common enquiries, taking messages, and scoring missed calls by urgency.
Coming soon: call recording built in
IBIOS-run call recording is coming soon. Today, transcripts and AI summaries are produced from the recordings your existing GoHighLevel phone line already makes, searchable against the customer record.
Questions about the IBIOS cloud phone system (coming soon)
Can we keep our existing UK phone number?
The IBIOS cloud phone system is coming soon. When it launches, number porting is planned so your existing UK geographic or non-geographic number can transfer to it, or IBIOS will be able to provision a new UK number for you.
Do we need a physical handset?
When the phone system launches (coming soon), it is planned to include a browser-based softphone that runs on any desktop or laptop, so staff will make and receive calls from the IBIOS interface without additional hardware.
How many calls can we handle simultaneously?
Coming soon. When it launches, the IBIOS cloud phone system is designed to handle multiple concurrent calls, so several staff members can each be on a different call at the same time, with overflow to a queue or the AI Receptionist.
Does this replace the AI Receptionist, or work alongside it?
Both are coming soon. The AI Receptionist is planned as the AI layer on top of the IBIOS cloud phone system: the phone system will handle call delivery, routing, and recording, and the AI will handle inbound responses and after-hours coverage. Today, IBIOS produces transcripts, summaries, sentiment and call briefings from your existing GoHighLevel call recordings.
Is call recording automatic?
IBIOS-run call recording is coming soon. Today, IBIOS analyses the recordings your existing phone provider (GoHighLevel) already makes: each one is transcribed, summarised and attached to the customer record.
Will callers have to press numbers on a keypad menu?
No. Call routing is coming soon, and it will be intent-based rather than keypad-based: callers will say what they need and the AI will send the call to the right person or team. Rules will be configurable per intent, time of day and staff availability, and if that person is busy the call will overflow to the next available colleague or to the AI Receptionist (also coming soon).
Can customers text us back, and will we see the reply?
When SMS from the record launches (coming soon), texts will be sent and received on the same IBIOS number as your calls. Replies will land in the customer record thread, timestamped, so anyone on the team can see the full conversation rather than it living on one person’s phone.
