Every discount needs a reason.
Staff submit discount requests with a percentage, a reason, and a justification. Managers approve, reject, or override before any discount reaches the customer. Every decision is logged in a full audit trail.
Enforced at the API layer. Configurable thresholds by role. Quote locked until decision is made.
How unauthorised discounting erodes your margins silently
A sales person offers a generous discount to close a deal. It works. Next month, they do it again on a different customer. And again. A few months later, your average margin has slipped and nobody can explain why, because the discounts were never logged, never approved, and never reviewed.
Without a formal approval process, discounting becomes a habit rather than a decision. The deals feel like wins. The margin loss is invisible until it shows up in your accounts.
IBIOS makes every discount a decision, every decision a record, and every record visible to the people responsible for your business margins.
How does discount approval work?
Four steps from request to application. No workarounds possible.
Staff submit request
Sales staff enter a requested discount %, select a reason, and write a justification directly in the quote editor. The quote is locked pending approval.
Manager is notified
The manager receives an in-app notification and optional email alert. They see the quote, the requested discount, the margin impact, and the justification in one view.
Approve, reject, or override
Manager approves the requested percentage, rejects with a reason, or approves a different amount. The decision is logged and the staff member is notified immediately.
Quote updates automatically
An approved discount is applied to the quote totals automatically. The quote is unlocked and can be sent to the customer. No manual recalculation required.
What changes when every discount is approved
No margin erosion without visibility
Every discount requires a human decision by someone with margin visibility. There is no way for discounts to accumulate unnoticed because every one creates an audit record and requires explicit approval.
Staff know the rules before they ask
Configurable thresholds mean staff can see exactly how much they are permitted to request without escalation. This reduces unnecessary requests and sets clear expectations across the sales team.
Full history on every quote
The quote timeline shows every discount requested, approved, rejected, or overridden during the quote’s lifetime. No more confusion about why the final figure is different from the original.
Compliance for multi-location or franchise operations
When multiple branches or staff handle quoting, a centralised discount approval system ensures pricing policy is enforced consistently regardless of who is building the quote.
What do managers see when approving a discount?
The approval view gives managers everything they need to make a fast, informed decision without opening separate reports.
Quote value
Full quote total before and after the requested discount.
Margin impact
Current gross margin % and projected margin if discount is approved.
Reason and justification
The staff member’s stated reason and free-text justification.
Customer context
Customer lifetime value, number of previous jobs, and payment history.
Threshold position
Whether the request is within, at, or above the staff member’s permitted threshold.
One-click decision
Approve, reject with reason, or approve a modified percentage — all from one screen.
Questions about discount approval
How do staff request a discount?
When building or editing a quote, a staff member can submit a discount request directly from the quote line items. They enter the requested discount percentage, select a reason from a configurable list (price match, loyal customer, bulk order, project requirement, other), and add a free-text justification. The request is submitted and the quote is locked from further editing until a decision is made.
Who approves discount requests?
Users with the Manager or Admin role receive a notification when a discount request is submitted. They review the requested percentage, the stated reason, and the impact on quote profit margin before approving or rejecting. Approval can be done from the IBIOS dashboard or from a notification link. If the approving manager wants to approve a different percentage than requested, they can override the amount and add a comment.
What stops staff from applying discounts without approval?
The discount field on a quote line item is not directly editable by staff with the sales role. The only way to apply a discount is through the approval workflow. Attempting to submit a quote with an unapproved discount percentage triggers a validation error. The system enforces this at the API layer — it is not a UI-only restriction.
Is there an audit trail for discounts?
Yes. Every discount request, approval, rejection, and override is recorded in the IBIOS audit log with timestamp, user, requested amount, approved amount, reason, and justification. The audit trail is searchable by date range, staff member, and outcome. Quote records also show the full discount history in the quote timeline so you can see every discount decision at a glance.
Can I set maximum discount thresholds?
Yes. In tenant settings, you can configure maximum discount percentages by role and by product category. A sales staff member may be permitted a lower limit than a senior sales person. Requests above the threshold are automatically escalated to Admin rather than Manager. Thresholds are configurable per brand, product category, or across the board.
What happens to a quote while approval is pending?
The quote is locked from editing while a discount request is pending. It cannot be sent to the customer in this state. This prevents staff from emailing a quote with an unapproved discount while waiting for approval. The quote status shows “Discount Pending” in the pipeline Kanban. Once approved or rejected, the lock is released and the quote can be edited or sent.
Can managers reject a discount and explain why?
Yes. When a manager rejects a discount request, they select a rejection reason and can add a free-text note that is sent back to the requesting staff member. Common rejection reasons include “below minimum margin”, “no comparable evidence provided”, and “discounted rate already applied”. The staff member receives the rejection note in their IBIOS notification feed and can revise and resubmit.
