IBIOS Feature

IBIOS learns from your business. Not generic AI knowledge.

Every answer IBIOS gives is drawn from what your business actually knows: your website, your documents, your catalogue, your past interactions. Not from a general model trained on the internet. Your knowledge, available at the moment it is needed.

And it keeps learning. Every customer interaction, every call transcript, every document you add builds on what IBIOS already knows about your business. All automatically — no manual updates required between sessions.

Generic AI does not know your business

A generic AI assistant knows a lot about the world in general. It knows what a bathroom is. It knows what a quote is. What it does not know is your lead time from your preferred supplier, your current discount on Carron baths, your company policy on deposits, or what your installer charges for a wet room versus a standard bathroom.

When a customer asks a question that requires that specific knowledge, a generic AI either makes something up or says it does not know. Neither is acceptable when you are using that AI to represent your business (and, coming soon, to answer your phone).

IBIOS answers from your own knowledge. If the answer is in your system, it gives it. If the answer is not there, it says so honestly and routes accordingly. No guessing. No generic filler.

What does IBIOS learn from?

Your website

Every page your customers read, available to the AI to answer enquiries in your own language.

Supplier PDFs

Product catalogues, price lists, and specification sheets loaded and kept current.

Customer call transcripts

Every call logged and turned into retrievable knowledge for the next interaction.

Past email exchanges

Historical customer conversations that show how your business handles common situations.

Internal notes and policies

Your own rules, procedures, and knowledge that should inform every customer-facing response.

Social media content

How you describe your business publicly — consistent across every channel.

How does your business knowledge get into IBIOS?

You do not start from a blank page. IBIOS builds a first draft of your business memory from what you already have, then your team checks it.

Website crawl

Paste your web address and IBIOS reads your pages (following your sitemap and respecting robots.txt), picking out services, opening hours, products, FAQs and policies. Exclude any pages you like and choose a weekly, monthly or manual re-crawl.

Forwarded emails

Each account has its own inbound address. Forward a supplier announcement, price update or policy change and proposed articles appear for review. Attached PDFs and spreadsheets are read too. The approved articles keep a link to their source.

Documents and spreadsheets

Upload brochures, specification sheets and price lists. Text is extracted (with OCR for scanned pages) and turned into proposed articles.

Social media and reviews

Public posts, reviews and Q&A from Facebook, Instagram, Google Business Profile, YouTube and Trustpilot, so IBIOS knows your current offers and how customers describe you. Exclude individual posts or ignore anything before a chosen date.

WhatsApp chat history

Upload a WhatsApp Business export (individual or staff group chats) and IBIOS finds the questions customers ask most and how your team answers them, turning informal chat history into reviewable knowledge.

A human review gate

Nothing from any source reaches the AI until someone on your team approves it. That is how IBIOS keeps learning from your business without learning the wrong thing.

Questions about Business Memory

What kinds of documents can IBIOS learn from?

IBIOS can learn from your website pages, supplier PDFs, product catalogues, past email exchanges, call transcripts, and internal notes. Anything that contains useful knowledge about your business, your products, or your customers can be included. You decide what goes in.

How long does it take for new information to be available to the AI?

Website content, documents and supplier PDF imports become available to the AI assistant once processing completes and your team has approved the proposed articles. There is no overnight batch cycle, so approved changes to pricing, products and policies are reflected in the next response.

Does IBIOS mix up information from different sources?

No. IBIOS knows the source of every piece of information and cites it when relevant. If the same question has different answers in different documents — for example, a superseded price in an old supplier PDF — IBIOS identifies the conflict and uses the most recent source unless instructed otherwise.

Can IBIOS learn from our social media presence?

Yes. IBIOS can ingest content from your Facebook page, Instagram profile, and website to understand how you describe your services publicly. This helps the AI answer in language consistent with how your business presents itself externally.

What happens to the information we load — is it used to train a shared model?

No. Your business information is stored in your own account and used only for your business. It is not used to train any shared AI model, shared with other IBIOS customers, or accessible to anyone outside your account. Your data, your account, your knowledge.

Does new content go straight to the AI without anyone checking it?

No. Everything IBIOS extracts from your website, emails, documents, social posts or chat exports lands in a review queue as a proposed knowledge article, with its source and a confidence score. A member of staff approves, edits or rejects each one. When a re-crawl finds that a page has changed, the new version is queued for review too, so answers never change silently.

Do I have to give IBIOS my email or social media logins?

No. For email, you forward the messages you choose to your account’s own IBIOS address; IBIOS never connects to your inbox. For social media, IBIOS reads the public content of your business pages without your username or password. Optional read-only connections for richer data (such as all reviews and Q&A) are coming soon and will use each platform’s own permission screen, which you can revoke at any time.

What happens to customer details in a WhatsApp chat export?

Phone numbers, display names and personal details are stripped while the export is parsed. Only the question pattern and your business’s answer are kept, for example “customers often ask about delivery times for made-to-order items”, without recording who asked.

Which IBIOS product line includes Business Memory?

Business Memory is part of the IBIOS AI Brain product line. It is built for bathroom retailers and tile showrooms. See also: PDF bulk upload.
