The right alert. The right person. The right moment.
Orders, chases, reminders, and new enquiries — straight to your phone the instant they need attention. IBIOS knows who needs to know what, and makes sure they find out immediately.
Why do things fall through in a busy business?
A quote goes cold because the rep was busy and forgot to chase it. A payment goes overdue for weeks because nobody had a system to flag it. A supplier confirmation sits in an inbox and the customer is never updated. An after-hours caller leaves a voicemail and is not contacted until Tuesday.
None of these failures happen because your team is careless. They happen because there is no system watching every thread and flagging the ones that need attention. That is the job of a good office manager. IBIOS does it automatically.
IBIOS alerts do not only fire on time-based rules. They also fire when IBIOS spots something that looks unusual — a customer who normally responds quickly but has gone silent, an order that has stalled without explanation, a pattern that does not match what is expected. Alerts based on what the system notices, not just what a rule was pre-configured to watch for.
Every alert is specific, actionable, and routed to the person who can act on it. No generic notifications. No noise. Just the information that requires a response, delivered the moment it becomes relevant.

Do smart alerts reach your phone when the app is closed?
Alerts arrive as push notifications in your phone’s notification bar whether or not the IBIOS app is open. One tap takes you straight to the record.
- Triggers include a quote accepted, a payment received, a supplier order acknowledged and a quote with no follow-up after a set number of days. Late-delivery alerts are coming soon.
- Routed by role and job ownership: fitters hear about their jobs, salespeople about their quotes, and the owner gets a morning summary.
- Quiet hours hold non-urgent alerts until your next working window.
- Coming soon: customer-facing SMS updates (order confirmed, payment received, delivery booked), set up separately from staff alerts.
Smart alerts: common questions
What kinds of alerts does IBIOS send?
IBIOS sends alerts for quotes that need following up, payments overdue by a set number of days, supplier orders confirmed (late-delivery alerts are coming soon), new enquiries requiring a callback, and any event you configure as important. Alerts for urgent missed calls are coming soon with the IBIOS phone system. Each alert is routed to the right person based on their role.
Can I control who receives which alerts?
Yes. Alerts are routed by role and by job assignment. A customer enquiry about a specific job goes to the sales rep handling that job. A payment overdue goes to the person responsible for credit control. Coming soon with the IBIOS phone system: an urgent after-hours call will go to the duty manager. You configure the routing once; it runs automatically.
Do alerts work when I'm not in the office?
Yes. IBIOS alerts are delivered to your mobile device via the IBIOS app. You receive them anywhere — on-site, at home, travelling. Each alert is tappable: one tap opens the relevant record and lets you act immediately.
Can I set alert thresholds — for example, only alert me for larger payments?
Yes. Alert triggers are configurable. You can set payment alerts to only fire above a certain value, call alerts to only fire outside business hours, or quote chase alerts to fire only after a set time without response. You see the alerts that require your attention, not a stream of low-priority notifications.
What happens if I miss an alert?
Missed alerts accumulate in your IBIOS app and are included in your daily morning briefing. If an alert is marked as urgent, it is re-surfaced if no action is taken within a set period. Nothing drops off the list until it has been acted on or dismissed.
Can I set quiet hours so I am not alerted in the middle of the night?
Yes. Choose the hours when alerts are delivered. Anything that arrives outside them is held and delivered at the start of your next active window, and you decide which genuine emergencies are allowed to break through.
