Supplier Order Management

Raise a supplier order from the job record. Track it until it arrives.

Every supplier order in IBIOS is linked to a customer job. Products, quantities, and required-by dates in one place. Acknowledgement numbers and partial arrivals built in. Late delivery alerts are coming soon.

Multiple suppliers per job. Optional automatic supplier email. Installation date alerting coming soon.

How do supplier orders work in IBIOS?

From raising the order to logging the final delivery — all tracked from the job record.

1

Raise the order

From the job record, raise a supplier order. Add products, quantities, and the required-by date. Multiple suppliers raised as separate orders on the same job.

2

Send to supplier

IBIOS sends the order to your supplier contact automatically (optional). The order email address is stored on the supplier record.

3

Track progress

Log the acknowledgement number when the supplier confirms. Record partial arrivals as goods come in. Note any damages or shortages in the order issues log.

4

Late delivery alert (coming soon)

Coming soon: IBIOS will compare the expected arrival date to the installation date. If an order is running late, an alert will appear on the job record and the dashboard.

Supplier mismatches queried, not just noticed

Spotting a discrepancy on an acknowledgement is easy. Getting round to the email is where money is lost. When IBIOS finds a mismatch, the query is already written.

  • Triggered by quantity, price (beyond your set tolerance), item code or delivery date differences.
  • A clear, factual, non-aggressive draft naming the PO, with ordered and acknowledged values side by side.
  • Edit inline on the supplier order, then send from your own business email address in one click.
  • Turn automatic drafting off per supplier or globally; mismatches are still flagged either way.

Who is supplier order tracking for?

Supplier order management is most valuable when a job depends on multiple deliveries arriving before a fixed installation date.

Bathroom showrooms

A bathroom installation requires baths, tiles, taps, and accessories from different suppliers. IBIOS tracks every order; alerts if anything is late are coming soon.

Kitchen retailers

Kitchen units, appliances, and worktops arrive from different suppliers. Partial arrival tracking keeps you informed when the first delivery comes in early.

Flooring and tile retailers

Tile orders often arrive in batches. Partial arrival logging and shade-lot matching prevent the wrong batch being sent to a customer.

Trade contractors

Contractors co-ordinating materials for a fixed installation date need to know immediately if a supplier is running late. Coming soon: IBIOS will surface this without manual chasing.

Questions about supplier orders

Can one job have orders to multiple suppliers?

Yes. A bathroom job typically involves products from several suppliers — for example, baths and shower trays from one supplier, tiles from another, and taps from a third. Each supplier is raised as a separate order in IBIOS, all linked to the same job record. You can track the status of every order from the job view.

Does IBIOS automatically email the supplier?

IBIOS can send the order to the supplier’s order email address automatically when you confirm the order in the system. This is optional — you can also generate a purchase order document and send it yourself. The supplier email address and order contact are stored on the supplier record.

What happens when only part of an order arrives?

IBIOS supports partial arrival tracking. When goods arrive, you log which lines have arrived against the order. The order status moves to partially_arrived. Items not yet received remain open. This is particularly useful for tile orders where multiple batches may arrive on different days.

Can IBIOS alert me if a supplier order is late?

Coming soon. Late-delivery alerts are not live yet. When they launch, IBIOS will compare the expected arrival date on each supplier order against the installation date on the job. If the arrival date is after the installation date — or if the order has not been acknowledged within a reasonable time — IBIOS will raise an alert in the job record and on the dashboard.

Can I use supplier order management on its own?

Yes. Supplier order management is part of IBIOS Order Management, and IBIOS products can be used on their own or together. Founding prices for waiting-list members are explained on the pricing page.

What happens when a supplier acknowledgement does not match my order?

IBIOS checks each acknowledgement against your purchase order. If a quantity, unit price (beyond your tolerance), item code or delivery date differs, the mismatch is flagged on the order and IBIOS drafts the query email for you in professional British English, with the PO reference and a side-by-side table of what you ordered and what was acknowledged. You review, edit if needed, and send it from your own business address.
