Who is this checklist for?
This checklist is for small UK trade businesses that are still using a basic Word document or spreadsheet for quotes and want a more professional, consistent baseline.
It is particularly useful if you are:
- •A bathroom showroom sending quotes to homeowners for full bathroom projects
- •A tile retailer quoting on supply-only orders where shade lot tracking matters
- •A trade supplier quoting on product packages for contractors or developers
- •Any small trade business that has received a complaint about a quote not matching the final invoice
If your quotes are going out in a consistent, professional format and you want to go further — automated line items, AI-assisted pricing, PDF generation from your ERP — that is what IBIOS does. The template is the manual version of what the software automates.

Frequently asked questions
Is this checklist suitable for sole traders and small limited companies?
Yes. It is for small UK trade businesses: bathroom showrooms, tile retailers and general trade suppliers. A limited company quote usually shows the company name, registered address, company number and VAT number if registered. A sole trader shows their trading name and business address.
Should a bathroom or tile quote show VAT?
Yes, if you are VAT registered. Show the net amount, VAT rate and VAT amount for each line, plus a clear gross total, and note any items at a different rate. Our free quote template works out VAT per line at 20%, 5% or 0%.
What is the shade lot disclaimer and why is it important?
Tiles from the same design can vary in colour and texture between production batches (shade lots). If a customer orders additional tiles later and the shade lot has changed, the new tiles will not match. A shade lot disclaimer on the quote makes clear that your business recommends ordering all tiles at once and is not liable for shade variation between separately ordered batches. This protects you from disputes that are common in tile retail.
Can I fill in a quote online and print it?
Yes. Our free printable quote template at /tools/quote-template lets you type your business details, line items, deposit and terms on screen, then print it or save it as a PDF. Add your own shade lot wording to the terms box for tile quotes.
