Use Case

The standard chase is ignored. A personalised one gets read. Coming soon.

A weeks-long stall on a confirmed bathroom renovation. Two template reminders ignored. Coming soon: IBIOS will read the transcript from the original call and draft a chase that references what the customer actually told you, with a pay-by-link (live today) for the outstanding balance.

Why do generic payment reminders get ignored by customers?

An illustration of how automatic, personalised chasing will work once it launches (coming soon). Sarah accepted a quote for a bathroom renovation several weeks ago. The 5-week reminder got no response. The 3-week chase got nothing either. The sales director, reviewing the list of balances to chase on Monday morning, sees her balance still unpaid.

Opening the job record, the director notices something in the call transcript from three weeks earlier. When Sarah called the showroom, she mentioned wanting the installation to coincide with her children’s school half-term. The standard chases made no mention of this. They said what every template says: “your balance is due.”

Coming soon: with AI personalisation enabled, the next chase, the 1-week reminder, will be generated differently. It will draw on the transcript note, the assigned advisor’s name, and the provisionally held install week:

“Hi Sarah — we’ve been looking at the dates for your bathroom installation and noticed you mentioned wanting it to align with half-term. We’ve got the week of 28th May provisionally held for you. To confirm the booking, we just need the balance — you can pay securely using the link below. Any questions, give us a ring and ask for Karen.”

In this example Sarah pays by link, and the job is confirmed. Nothing is invented: every detail in that message comes directly from the customer record.

How will an AI-personalised payment chase work?

Coming soon: a step-by-step walkthrough of how IBIOS will break a payment stall with a single personalised message.

01

Standard chases, no response

Coming soon: the automated payment cadence will send the 5-week and 3-week reminders. In this example both use the standard template: “your balance is due.” Sarah has not responded to either, and the job is flagged as Balance Outstanding.

02

Director reviews the job record

Opening the job on Monday morning, the director sees the outstanding balance and scrolls to the call transcript from three weeks earlier. The note reads: “customer mentioned wanting installation to coincide with children’s school half-term.” That detail never made it into the standard chases.

03

A personalised 1-week chase (coming soon)

Coming soon: with AI personalisation enabled, IBIOS will assemble the next chase from the live job data and the transcript note. In this example it references the half-term preference, names Karen (the assigned advisor), and confirms the provisionally held week of 28th May, with a secure pay-by-link for the balance embedded.

04

Sarah pays by link

In this example, Sarah receives the message, recognises the half-term detail as something she actually said, and reads the rest. The message feels like it came from a showroom that was listening. She opens the pay-by-link and pays the balance.

05

Job status updates (coming soon)

Coming soon: IBIOS will move the job to Payment Confirmed, notify the installer automatically, and show the director the cleared balance on the dashboard with a timestamp, with no manual follow-up required.

What the example shows (coming soon)

Pay by link

embedded in the chase; pay by link itself is live today

A template chase tells a customer they owe money. A personalised chase tells them you were paying attention. The difference is not tone — it is whether the message contains a specific detail only your showroom could know. Coming soon: IBIOS will surface that detail from your own records and put it to work.

Questions about AI-personalised payment chases

What if the customer never mentioned anything personal in a prior call?

Automatic chasing, including AI personalisation, is coming soon. When it launches, the chase will fall back to the standard template with live data: the outstanding balance, the provisional install date, and the pay-by-link. AI personalisation will only add what it actually knows from the customer record. If there is nothing to draw on, nothing will be invented.

Does IBIOS invent details if there is no transcript available?

No. When personalised chases launch (coming soon), the anti-hallucination rule will apply throughout the payment chase workflow. If a fact is not present in the customer record or a confirmed call transcript, it will not be included in the generated message. The AI will not fill gaps with plausible-sounding detail.

Will we see what the AI wrote before it sends?

Yes, when personalised chases launch (coming soon). The director or sales manager will be able to open the draft in the job record, read it in full, and approve, edit, or override it before it goes out. Automatic send will be an option for businesses that prefer a hands-off flow, with the approval step on by default.

Does the AI ever include cost prices or supplier names in its messages?

No. When personalised chases launch (coming soon), trade-secret guardrails will run at two stages: context-stripping (cost price, margin, and supplier names removed before the prompt is assembled) and a post-generation check (the output scanned before sending), so neither cost price nor supplier names can appear in a generated chase.

Is AI personalisation only for payment chases, or can it apply to other messages?

It is coming soon for the payment chase cadence: the 5-week, 3-week, and 1-week reminder sequence, which is itself coming soon. Extension to quote follow-ups and installation confirmation messages is planned for a later release. Any roadmap item will be clearly labelled as such in the product.
