Coming soon — Use Case

Visitor asks “How much is a new bathroom?” — IBIOS will know not to guess.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. Bathroom and kitchen trade businesses lose leads to accidental price quotes that turn cold before the survey happens. IBIOS will detect pricing questions and deflect them into a booked callback — without ever inventing a number.

What happens when a bathroom business guesses a price for an enquiry?

A homeowner is planning a bathroom renovation. It’s 9pm on a Tuesday and they’ve found your website. They type into the chat: “how much does a new bathroom cost?”

Without a smart system in place, one of two things happens. Either no one replies until the next morning — by which point the homeowner has had all night to find a competitor who did answer. Or a well-meaning member of staff, trying to be helpful, types back: a rough price range “depending on spec”. A range pulled from thin air, without ever seeing the room, the fittings, the tiles, or what the customer actually wants.

The homeowner now has a figure in their head. They Google competitors. One of them shows a lower range on their website — equally invented, but lower. Job lost. Not because your work is worse, or your price is higher. Because a number was given before anyone knew what the job involved.

This is the accidental quote problem. It costs bathroom and kitchen businesses leads, and it almost never shows up in any report because the conversation ended before it was ever logged.

What will IBIOS do instead when asked for a price (coming soon)?

Same visitor, same question. The AI will detect the pricing query, not guess, and move the conversation towards a booked appointment.

01

AI detects the pricing intent and deflects without guessing

Coming soon: the moment the visitor asks about cost, IBIOS will recognise the intent — whether they phrase it as “how much”, “what’s the price”, “can you give me a ballpark”, or “is it expensive”. It will apply the pricing rule configured for the business and respond with something like this:

“Yes, we install Carron baths — gorgeous ranges. Every bathroom is bespoke though, so there’s no off-the-shelf price — depends on the room, fittings, tiles, and the finish you’re after. Best route is either popping into our showroom for a free chat (bring your room dimensions) or I can book you a phone call with the team. Which works better for you?”

No figure invented. No range offered. The conversation moves forward.

02

Visitor chooses a callback time

Coming soon: the visitor opts for a callback. IBIOS will check live calendar availability and offer real slots: “I’ve got Tuesday at 2pm, Wednesday at 9am, or Thursday at 4pm — which works best?” Only times that are genuinely available will be offered.

03

Appointment confirmed, SMS sent

Coming soon: the visitor selects Tuesday at 2pm. IBIOS will book it and send an immediate SMS confirmation with the time and your business name. The visitor now has an appointment. They are not going to Google a competitor.

04

Staff see it ready to act on

Coming soon with the AI Receptionist: the appointment will appear in the IBIOS dashboard: customer name, contact details, the question they asked, and the slot booked. The team arrives Tuesday morning knowing who is calling at 2pm and why — without having committed to any price.

The expected outcome

No guesses

no accidental price quotes sent to web visitors

Answered

pricing questions get a reply instead of going cold overnight

Booked

pricing query turned into a callback in the same conversation

The shift is not just in avoiding a bad number. It is in the quality of the conversation that follows. When the callback happens, the team already knows what the visitor asked, when they asked it, and what was said. The survey call starts with context, not from scratch.

Questions about pricing deflection

Does the AI ever mention prices?

No. Once the AI Receptionist launches (coming soon), when the pricing disclosure rule is set to 'none' (the default for bathroom and kitchen trade), the AI is designed not to quote a figure, estimate a range, or guess at cost. It aims to redirect pricing questions to a showroom visit or a callback.

Which booking systems does this work with?

Coming soon. Once the AI Receptionist launches, when a visitor chooses a callback time, the AI will check live calendar availability and confirm the appointment in real time — no manual follow-up needed.

What if the visitor doesn't want a callback?

The AI will acknowledge their preference and leave the door open: “No problem at all — if you'd like to get in touch when you're ready, you can reach us here or just come into the showroom.” No pressure, no abandoned conversation.

How does the AI know when to deflect a pricing question?

Once the AI Receptionist launches (coming soon), it is designed to detect intent — not just keywords. Whether someone asks “how much”, “what's the cost”, “can you give me a ballpark”, or “is it expensive”, the system will recognise the pattern and apply the configured rule for that business. The rule will be set once in the business settings and apply across every channel.

Can we customise the deflect message?

Yes, once the AI Receptionist launches (coming soon). The default response will be tuned for bathroom and kitchen trade, and you will be able to replace it with your own wording in the AI settings panel. The custom message will appear on every channel — website chat, phone, and email.
