Coming soon — Use Case

First call of the day is a complaint. IBIOS will route it to the right person without escalation.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. A complaint handled by the wrong person without the right context goes from bad to worse very quickly. IBIOS will identify the complaint on the call, flag it as high-priority, and have the installation manager notified with the job reference before the customer hangs up — so the callback happens with full context, not guesswork.

What happens when a complaint call lands with the wrong person?

First thing in the morning, a customer calls angry about a gap between the bath panel and the wall from an installation completed last week. They want it fixed today. The staff member who answers handles enquiries and quotes — not installations. They don’t know the job. They don’t have the file. They start asking for the customer’s name, postcode, date of installation.

The customer has already told their partner about this. They are not in a mood to re-explain themselves to someone who clearly doesn’t know what happened. The questions feel like delay tactics. The tone gets worse. The call ends with a threat to post a 1-star review.

The staff member was not at fault. They answered the phone. They didn’t have the information. Without a routing system that identifies complaint calls and escalates them before the wrong person spends the call asking basic questions, this plays out the same way every time.

How will IBIOS route a complaint call to the right person (coming soon)?

A step-by-step walkthrough of how a complaint will be routed, with full context at every stage.

01

Morning complaint call, wrong staff member answers

Customer calls furious about a gap between the bath panel and the wall from last week’s installation. The staff member who answers handles enquiries, not installations. They don’t have the job details. The customer gets more frustrated. The call deteriorates.

02

IBIOS identifies the complaint type

With the IBIOS Receptionist (coming soon) handling the call, the AI will detect the complaint intent early in the call. It will acknowledge the issue calmly, confirm the customer’s identity, and locate their IBIOS job record.

03

Installation manager notified immediately

Coming soon: IBIOS will send a text to the installation manager straight away with the customer name, job reference, and complaint summary: gap at bath panel, installation completed last week, customer requesting same-day resolution.

04

Manager calls back with full context

Coming soon: the manager opens IBIOS, sees the full job record and the AI transcript, and calls the customer with the job details on screen. Customer is told when a remediation visit is booked, and the bad review threat does not materialise.

05

Complaint logged against the job record

Coming soon: the full complaint interaction will be logged in IBIOS under the job, with a timestamp. The remediation visit is added to the installation schedule. Resolution is tracked from first complaint to close.

The expected outcome

Routed

from the complaint call to a manager callback with job details ready

Context

the callback starts with the job record, not defensive questions

Logged

complaint detail captured against the job before the callback

The difference between a resolved complaint and a 1-star review is almost always whether the person who calls back has the context to act immediately. Once the AI Receptionist launches (coming soon), IBIOS aims to make sure they do, without relying on the customer to re-explain, or staff to relay second-hand information from a difficult conversation.

Questions about complaint call routing

Can IBIOS identify when a call is a complaint?

Coming soon. Once the AI Receptionist launches, IBIOS will use sentiment analysis and intent detection during the call. When a caller uses language indicating dissatisfaction with a completed job — a fault, a gap, a missed finish — the system will classify the call as a complaint and route it through your complaint-handling workflow rather than the standard enquiry flow.

How does IBIOS route complaints differently from regular enquiries?

Once the AI Receptionist launches (coming soon), complaints will trigger a priority escalation workflow. Rather than creating a standard callback request, IBIOS will send an immediate notification to the designated installation manager — or whichever role you assign for complaint escalation — with the customer name, job reference, and a summary of the issue. The callback will be flagged as urgent in the IBIOS dashboard.

What information does the manager receive before calling the customer back?

Once the AI Receptionist launches (coming soon), the manager will receive a text notification with the customer name, job reference, and a one-sentence summary of the complaint. When they open IBIOS they will see the full job record, installation notes, product list, and the full transcript of the AI call. They have everything needed to respond with authority before dialling.

Can IBIOS log the complaint in the job record automatically?

Yes, once the AI Receptionist launches (coming soon). The complaint will be logged as a note against the relevant job in IBIOS, timestamped, and tagged as a complaint. This creates an audit trail for the resolution. If the issue escalates, the original complaint record is there with the exact words the customer used and the time they called.

Is the customer told their complaint is being escalated?

Yes, once the AI Receptionist launches (coming soon). IBIOS will tell the customer clearly that their call has been noted as a priority and that the installation manager will call them back within a specific window — based on your configured response time. The customer will not be left wondering whether anyone has heard them. They will receive a confirmation SMS with the expected callback time.
