Use Case

Installer confirmed, payment cleared — a green light before the van leaves, coming soon.

An installer who arrives on site without knowing the balance has been paid is one awkward conversation away from a delayed start and a disrupted schedule. Today, IBIOS gives managers a list of balances to chase and lets customers pay by link. Coming soon: IBIOS will send the installer a confirmation when payment lands and flag every unconfirmed morning job on the dashboard before the vans go out.

What goes wrong when the van leaves before the balance is paid?

The installer loads the van early and heads to the first job. The balance was chased last week. No one checked this morning whether it actually arrived. The installer knocks on the door. The customer answers and mentions they haven’t sorted payment yet — they were going to call the office this morning.

The installer cannot start. They call the office. The director is not in yet. The sales rep doesn’t have authority to approve starting without payment. The installer waits in the van. The customer goes to find their card. By the time the installation begins it is running late, in a day that had another job booked for the afternoon.

This is not a rare edge case. It happens whenever the balance chase and the installation dispatch are managed in separate systems with no handoff. The morning of installation is the worst possible time to discover the balance is outstanding.

How will IBIOS tell the installer the balance has cleared?

Coming soon: the installation morning workflow, from the early dashboard check to the installer notification that the job is paid.

01

Installation morning check (coming soon)

Coming soon: early on installation morning, IBIOS will check every job scheduled for today and show in amber any job whose balance has not been marked as received. Today, managers see outstanding balances on the list of balances to chase.

02

Payment confirmed — via pay-by-link or manual update

Either the customer pays via a pay-by-link (live today), or a staff member marks the bank transfer as received. The job status updates to “Payment Confirmed” immediately.

03

Installer notification (coming soon)

Coming soon: the status change will send an automatic notification to the assigned installer with the customer name, address, installation date, and confirmation that the balance has been received.

04

A clear signal for the installer (coming soon)

Coming soon: the notification will give the installer a clear signal that the job is paid. Whether the van leaves stays your decision, made by your team under your own process.

05

Unconfirmed jobs flagged early (coming soon)

Coming soon: any job still without a payment confirmation on installation morning will show in amber on the dashboard, so the director will know which jobs need attention before any installer has left the depot.

What the workflow will aim for (coming soon)

Fewer

on-site payment disputes is the aim of the Payment Confirmed workflow (coming soon)

Auto

installer notification when payment lands, so no early-morning phone calls (coming soon)

Early

the director will see every unconfirmed morning job before any van leaves (coming soon)

Coming soon: the payment confirmation workflow will be the final checkpoint after the earlier chase sequence, which is also coming soon. The 5-week and 1-week reminders will reduce the number of jobs that reach this point unpaid, and for the ones that do, the morning dashboard flag will give the director time to act before the van moves.

Questions about installer payment confirmation

How does IBIOS know when the final payment has arrived?

There are two routes. If the customer pays via a pay-by-link, payment confirmation is received automatically and IBIOS updates the job status to “Payment Confirmed” without any manual action. If the customer pays by bank transfer, a staff member marks the payment as received in the job record when the funds clear. Coming soon: that status change will be the trigger that sends the installer notification.

What will the installer notification say?

The installer notification is coming soon. It will be specific to the job: customer name, address, installation date, and a confirmation that the balance has been received, so the installer will not need to call the office to check.

What if the final payment arrives after the van has already left?

When the notification launches (coming soon), it will still reach the installer’s phone if they have already left, so they can see en route that the job is clear. Until then, and whenever a job is not confirmed, your own process applies: for example, asking installers to contact the office before starting work, with managers checking the list of balances to chase.

Will multiple installers on the same job all receive the notification?

Yes, when the notification launches (coming soon). IBIOS supports multiple installers assigned to a single job, and all of them will receive the payment notification at the same time, so nobody needs to relay it or make multiple calls.

How does this connect to the 1-week escalation for unpaid balances?

All three stages are coming soon. Stage one will be the 5-week automated balance reminder. Stage two will be the 1-week escalation that creates a director task and flags the job on the dashboard. Stage three will be the morning of installation: if payment has been confirmed, the installer notification will go out automatically; if not, the job will show amber on the dashboard early that morning.
