Coming soon — Use Case

New fitter, first job. IBIOS will give them everything they need to arrive right.

A new sub-contractor’s first impression of your business is formed before they knock on the customer’s door. IBIOS will read out the full address, access instructions, key safe code, and customer contact — and send an SMS confirmation — on the same call. No staff member needs to be available. No Post-it notes. The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work.

What happens when a new fitter calls the day before their first job?

New sub-contractor starting their first job for your business. They ring the day before to get the site address and access details. The staff member who booked them is away. Whoever answers doesn’t have the details to hand. They give the fitter an approximate address and say the customer will let them in.

Next morning. Fitter arrives at the wrong end of a long rural road. Calls the showroom. Nobody knows the key safe code off the top of their head. Someone has to find the job file. Fitter sits in his van while the customer wonders whether anyone is actually coming. Customer calls the showroom more than once. Several people are now involved in a problem caused by an approximate address.

The fitter’s first impression is that your business is disorganised. The customer’s first impression of your fitter is that he can’t find the job. Neither impression is fair, but both stick. The full address, the postcode, and the key safe code were all sitting in IBIOS the entire time — they just weren’t accessible to the person who needed them.

How will the AI receptionist give a fitter site access details (coming soon)?

A step-by-step walkthrough from the fitter’s call the evening before to arriving at the right location first time.

01

New fitter calls the evening before

First-time sub-contractor calls to get the site address. The IBIOS Receptionist (coming soon) will ask for their name and the job date, cross-reference against the assigned fitter on the job record, and confirm their identity before proceeding.

02

Full job details read out

The AI will read out the full site address with postcode, key safe code and location, customer name and contact number, and which products are expected on site so the fitter knows what to look for.

03

SMS confirmation sent immediately

Immediately after the call, IBIOS will send the fitter an SMS with the full address, postcode, and customer contact number. They have it in writing for navigation. No scribbled notes on the back of an envelope.

04

Fitter arrives at the right location

First job goes smoothly. Site found first time, key safe located, customer contact made before arrival. The fitter’s first impression of working with your business is professional, and he is happy to book in for more work.

05

Disclosure logged in audit trail

IBIOS will record that site access details were shared with this contact at this time, linked to the job. If there is ever a query about who had access to the site, the log is complete.

The expected outcome

One call

to retrieve and confirm full site details, with an SMS to follow

Right door

the fitter has the exact address and access details for the first job

Repeat work

is more likely after a smooth first experience

Good sub-contractors choose who they work with. A business that has its job details organised and accessible from the first call is a business they’ll come back to. IBIOS will make that first call a confident one, without a staff member needing to be at their desk.

Questions about sharing site access details securely

Can IBIOS share access codes and sensitive site information over the phone securely?

Coming soon, with appropriate controls. IBIOS stores site access instructions including key safe codes against the job record. Once the AI Receptionist launches, it will be able to share them verbally during a verified call. Sharing of sensitive site details will be restricted to callers whose identity has been confirmed by the AI verification step. All access detail disclosures will be logged in the job audit trail with a timestamp.

How does IBIOS verify the identity of someone claiming to be a new fitter?

Once the AI Receptionist launches (coming soon), for a new sub-contractor the AI will cross-reference the caller against the job record: their name must match the fitter assigned to the job and they must confirm the job date. For additional security on first-time contacts, a confirmation code can be shared in advance by the installation manager and required before sensitive site details are read out.

Can IBIOS send job details via SMS before a fitter’s first job?

Yes, once the AI Receptionist launches (coming soon). After the AI reads out the job details verbally, it will be able to send an SMS to the fitter’s number with a confirmation of the site address, postcode, customer contact number, and any pre-job notes. The SMS will be logged in the job record as dispatched. The fitter has the details in writing for navigation and reference on the day.

What job information is included in the pre-job SMS?

The pre-job SMS includes: the full site address with postcode, the customer’s contact number, the scheduled start time, a summary of what products are expected on site (for cross-checking against what’s there), and any specific access or parking instructions that have been logged against the job.

Can I restrict which information IBIOS shares with sub-contractors vs employed fitters?

Yes. IBIOS has configurable information tiers for different contact types. Sub-contractors can be restricted to receiving site address, access instructions, and customer contact only. Cost information, supplier order details, and job margin data are never shared with fitter-tier contacts regardless of how they ask.

Coming soon: the right address for your fitters before they leave the house.

IBIOS stores every job detail, and the IBIOS Receptionist (coming soon) will share it securely on request. Early access by waiting list.
