Coming soon — Use Case

New supplier rep introduces themselves. IBIOS will make sure the details are captured.

A new supplier rep calling at the right moment is a business development opportunity. IBIOS will capture their name, company, product range, and contact details on the call and alert the owner straight after — so the conversation happens this week, not when someone finds an old Post-it note. The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work.

What happens when a new supplier rep calls while the owner is out?

New rep from a bathroom accessories supplier calls to introduce themselves. Owner is out on a site visit. Whoever answers takes the rep’s name and phone number on a Post-it note. Post-it note ends up behind the desk telephone. No one notices it for two weeks. By then it’s been buried under a delivery note and a coffee cup.

Owner never finds out there was a new supplier contact with a potentially useful product range. Three months later, someone remembers a rep called about basin accessories. Nobody can find the details. The rep has changed territory. The opportunity to establish a relationship while the rep was new, motivated, and willing to offer good terms has gone.

Supplier relationships built early — before a rep is established and confident — tend to produce better terms, faster responses, and more goodwill when things go wrong. A Post-it note system cannot capture those opportunities reliably. IBIOS will be able to, once the AI Receptionist launches.

How will the AI receptionist capture a supplier rep’s details (coming soon)?

A step-by-step walkthrough from the rep’s call to the owner following up while the lead is still warm.

01

Rep calls while owner is out

New rep from a bathroom accessories supplier calls to introduce themselves and their range. Owner is away. The IBIOS Receptionist (coming soon) will answer and identify the call as a supplier introduction.

02

AI captures the contact details

The AI will ask for the rep’s name, company, product range, and best contact number. Rep provides their details. All of it will be captured and logged as a new supplier contact in IBIOS in real time.

03

Owner alerted after the call

IBIOS will send the owner an alert: “New supplier contact logged — Jamie Walsh, Harbour Bathrooms, basin accessories.” Owner sees it on their phone soon after the call.

04

Owner calls back while the lead is warm

Owner rings Jamie that same week. The contact details are in IBIOS. The product category is noted. The conversation starts from the right point. Not months later when nobody can remember who called.

The expected outcome

Captured

supplier contact details logged from the introduction call

No Post-its

supplier contacts go into IBIOS, not behind the desk phone

Same week

owner follows up while lead is still warm

The value of a new supplier contact is highest in the days immediately after first contact. IBIOS will make sure the details are captured and the owner is notified while the rep is still thinking about your business. That’s a structural advantage that a manual process cannot reliably deliver.

Questions about supplier contact capture in IBIOS

Does IBIOS maintain a separate supplier contacts directory?

Yes. IBIOS holds supplier contacts independently of your customer records. Each supplier contact record includes their name, role, company, product categories, phone, email, and the date and context of first contact. Multiple contacts can be linked to a single supplier account, so you can track account managers, regional reps, and technical contacts separately.

Can I assign a follow-up task to a new supplier contact automatically?

Yes. When a new supplier contact is logged, IBIOS can automatically create a follow-up task assigned to the owner or a nominated team member. The task includes the contact details, product category, and a suggested action. Follow-up tasks appear in the IBIOS dashboard with due dates so nothing gets buried.

How does the AI know to categorise a caller as a supplier rep vs a customer?

Coming soon. Once the AI Receptionist launches, the AI will use call intent detection to identify the nature of the call from the opening sentences. When a caller introduces themselves as a representative from a supplier or manufacturer and mentions a product range rather than asking about an order or booking, the AI will route the call into the supplier contact capture flow. This will be distinct from the customer enquiry and job query flows.

Can IBIOS link a supplier contact to an existing supplier record?

Yes, once the AI Receptionist launches (coming soon). When a new contact is captured on a call, the AI will check whether the company they mention matches an existing supplier in IBIOS. If it does, the contact will be linked to that supplier record automatically. If the company is not yet in the system, the contact will be logged as a new supplier lead and the owner can create the full supplier record once they’ve spoken to the rep.

Is there a way to track which supplier reps have been followed up?

Yes. The supplier contacts list in IBIOS shows the last contact date and the status of any follow-up task for each rep. You can see at a glance which new contacts have been called back and which are still outstanding. The activity log on each contact record shows every call, email, and note in chronological order.

Coming soon: every supplier contact deserves more than a Post-it note.

The IBIOS Receptionist is coming soon and will capture new supplier introductions and alert the owner before the rep rings someone else. Early access by waiting list.
