Customer from two years ago calling about a second bathroom. IBIOS will recognise them.
A returning customer who was happy with a bathroom you fitted two years ago is your easiest new sale. Treating them like a stranger on their second call destroys the loyalty your team spent a year building. IBIOS will recognise them before you say hello. The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work.
What happens when a loyal customer is treated like a stranger?
Customer who had their main bathroom done in 2023 rings about an en-suite. New staff member answers. Has no idea who they are. Asks for their name, address, what they’re looking for — standard new-enquiry questions.
Customer mentions their previous job. Staff member still can’t find it quickly. Asks them to spell their surname. Puts them on hold. Comes back, finds something that might be them but isn’t sure. The customer, who recommended you to two neighbours after their first bathroom, feels like a number.
They still get a consultation booked — but the warmth is gone. The second job might go ahead. Or they might decide to try a different showroom, just to compare. The loyalty your team earned in 2023 has been quietly eroded by one awkward phone call.
How will the AI receptionist recognise a returning customer (coming soon)?
A step-by-step walkthrough of how IBIOS turns a 2-year gap into a warm, prepared conversation.
Past customer rings about a second project
Customer had their main bathroom fitted in August 2023. They’re now calling about an en-suite. They give their name to the AI Receptionist (coming soon). IBIOS will match them to their existing record.
Full purchase history surfaced
IBIOS shows: bathroom job completed August 2023, the satisfaction score recorded, total spend and the installer. The older record is retrieved straight away. The AI will greet them by name as a returning customer.
Previous job referenced naturally
The AI will ask if they’re calling about their en-suite — something they mentioned wanting at their last visit. Customer is delighted that it was remembered. The conversation opens with warmth and credibility.
Design consultation booked
Customer wants to talk through the en-suite. The AI will book a design consultation from your live calendar. The booking is linked to their existing customer record, not created as a new enquiry.
Staff arrive prepared
The staff member for the consultation sees the customer’s previous job, spend, satisfaction score, and the note about the en-suite. They walk into that meeting already knowing the customer’s tastes, budget range, and history with the business.
The expected outcome
Instant
2-year-old customer recognised from their number before the first word
History
previous spend surfaced so staff know the customer’s history and value
Booked
returning customer converted to second consultation in the same call
A repeat customer already knows and trusts your business. Every returning customer who feels genuinely recognised is also a referral source for their neighbours, friends, and family. IBIOS will make every returning call feel like the relationship never paused.
Questions about returning customer recognition
Can IBIOS recognise a customer who hasn’t called in years?
Coming soon. Once the AI Receptionist launches, IBIOS will match callers by phone number against your CRM regardless of how long ago they were last active. A customer from 2022 will be recognised as readily as one from last week. As long as their number is on file, they will be identified before the AI says hello.
What historic information does IBIOS surface for returning customers?
IBIOS surfaces the customer’s name, their previous job summary (scope, completion date, installer), their total spend, any NPS or satisfaction score recorded, and any notes from the original job. Once screen pop and the AI Receptionist launch (coming soon), staff and the AI will see this before or during the call.
Can I see the revenue value of a returning customer before calling them back?
Yes. The customer record shows their lifetime revenue value, the number of jobs completed, and the most recent job value. This gives staff immediate context on how to prioritise the callback and what level of attention the customer warrants.
Does IBIOS send any automated re-engagement messages to past customers?
Not yet. Automatic re-engagement messages are coming soon, and customer SMS from IBIOS is also coming soon. When they launch, you will be able to set IBIOS to contact past customers after a set period of inactivity, for example two years after their last job completion. The message will be able to reference the previous job and suggest an en-suite or second bathroom as a natural next step.
Can I flag certain customers as VIPs for priority handling?
Yes. Any customer record can be flagged as a VIP in IBIOS. Once screen pop and call routing launch (coming soon), VIP calls will be highlighted with a visual indicator and can be configured to route directly to a specific staff member rather than the general queue. VIP status can be set manually or triggered automatically based on lifetime spend thresholds.
Every past customer is a future job waiting to happen.
Coming soon: the IBIOS Receptionist will recognise returning customers instantly and surface their history before hello. Early access by waiting list.
