Monthly pipeline review. Which lead sources actually close.
Are your paid ads generating profitable customers or just enquiries that go nowhere? IBIOS pipeline reports show quote conversion rates segmented by how the lead arrived — inbound call, website form, walk-in, referral — alongside average order values and payment lag. Move budget from what wastes it to what closes.
Which lead sources actually turn into signed jobs?
Most small trade businesses spend money on marketing — search ads, social, a website, maybe local directories — without clear evidence of what is actually generating revenue. They know roughly how many calls they get. They do not know which calls turn into signed jobs, which callers agree to a quote and then disappear, or whether the customers from one channel pay faster than those from another.
Without that information, marketing budget decisions are based on instinct. You continue spending on a channel because it feels busy, not because you can see it converting. Meanwhile a referral channel that generates fewer leads but converts far better and with higher-value customers goes under-invested because the numbers are not visible.
The IBIOS pipeline report changes the conversation from “which channel gets the most calls” to “which channel generates the most closed, profitable revenue.” Those are rarely the same answer.
How does a monthly pipeline review work in IBIOS?
From opening the report to a concrete budget decision, with all the evidence in one view.
Owner opens the pipeline report
From the IBIOS dashboard, the owner selects the pipeline report for the current month. The report covers every lead that entered the system in the period, segmented by source.
Conversion rates shown by lead source
Each source — inbound call, website form, walk-in, referral, AI Receptionist (coming soon) — shows its own conversion funnel: leads received, quotes sent, quotes accepted, jobs started. Conversion rates are shown as percentages at each stage.
Average order values compared
Alongside conversion rates, the report shows average order value per source. A lead source with a high conversion rate but a low average order value may be generating less revenue than a lower-converting source with higher-value customers.
Payment lag surfaced
The report shows average days from quote acceptance to deposit paid, and from job completion to final invoice settled, broken down by lead source. This exposes whether any source tends to generate slow payers alongside its conversion metrics.
Budget decision made with evidence
With conversion rates, order values, and payment lag visible side by side, the owner has the evidence to shift budget away from the underperforming source and towards the one generating closed, profitable, prompt-paying customers.
What changes for the business
When budget follows evidence rather than instinct, underperforming channels can be reduced and high-converting channels can get more investment. Each report shows leads received, quotes sent, quotes accepted, jobs started, average order value and payment lag for every source, so the decision is based on closed, profitable revenue rather than on which channel feels busiest.
Questions about pipeline reporting
Does IBIOS track where a lead came from automatically, or does staff have to tag each lead on entry?
Both paths are available. Once the AI Receptionist launches (coming soon), leads entering via it will be tagged with their channel automatically — inbound call, web form, or out-of-hours message. Leads entered manually by staff include a source field on the new lead form. The field is required before saving, so the data stays consistent without enforcement conversations.
Can I compare this month's conversion rate against last month or the same month last year?
Yes. The pipeline report includes period-over-period comparison for any date range you select. You can view current month vs. prior month, or current month vs. same month last year. The comparison is shown as both absolute figures and percentage change, so a seasonal dip is immediately distinguishable from a genuine decline.
Does the report include the AI Receptionist's call-handling stats alongside staff-handled leads?
Coming soon. The AI Receptionist is not live yet. Once it launches, AI Receptionist calls will appear as a named source in the pipeline breakdown. You will be able to see how many calls the AI handled, how many converted to a quote, and what the average order value was for those converted leads — directly comparable with leads handled by staff.
Can I export the pipeline report to a spreadsheet for my accountant?
Yes. Any IBIOS report can be exported to CSV or Excel with one click. The export includes the raw data behind every metric, so your accountant, bookkeeper, or business advisor can work with the numbers directly without needing access to the system.
Can I set conversion rate targets and get alerted when performance drops below them?
Yes. Conversion rate thresholds are configurable per lead source. When the rolling conversion rate for a source drops below your set threshold — for example, if web form conversions fall below the level you set — IBIOS sends an alert to the nominated staff member. Alerts can be set for daily, weekly, or monthly review cadences.
