Coming soon — Use Case

Owner at their kid’s match. A big kitchen enquiry comes in on Saturday afternoon.

High-value weekend callers don’t call back on Monday. IBIOS will capture the enquiry and send a push notification to the owner’s mobile when the call ends, so the appointment is booked before Saturday evening — while the owner is still watching the second half. The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work.

What happens when a high-value lead hits voicemail on a Saturday?

Saturday afternoon. The showroom is closed. The owner is at a football pitch watching their daughter play. A customer who saw the display at a local trade fair calls to discuss a full kitchen refurbishment — they liked what they saw, they have a budget, and they want to move.

Voicemail picks up. They don’t leave a message — few people do for a big project on a Saturday afternoon. It feels like calling into a void. By Monday they’ve contacted other businesses they found while browsing that afternoon. Some have websites with contact forms. One has a chatbot. One called them back the same afternoon.

The owner returns Monday morning. No missed call notification. No record of the caller. The job was available on Saturday afternoon for the price of a phone call. It went to someone who was reachable.

How will the AI receptionist capture a Saturday afternoon lead (coming soon)?

A step-by-step walkthrough of a high-value lead captured and converted on a Saturday afternoon.

01

Saturday afternoon: high-value caller, showroom closed

A customer saw the display at a trade fair and calls to discuss a full kitchen refurbishment with a substantial budget. The showroom is closed. Voicemail picks up. They leave no message. By Monday they have quotes from other businesses they found on Google.

02

IBIOS will answer and gather the full enquiry

With the IBIOS Receptionist (coming soon) active, the call will be answered straight away. The caller describes the project — full kitchen refurb, looking for a quote, saw the display. IBIOS will capture their details, project description, rough budget, and preferred contact method.

03

High-value flag triggered, owner notified

The stated budget and a trade fair referral meet the high-value threshold. IBIOS will send a push notification to the owner’s mobile once the call ends: caller name, project summary, budget figure.

04

Owner sees notification at half-time

Between the first half and second half of his daughter’s match, the owner checks his phone. Sees the lead. Calls back. Appointment booked before Saturday evening.

What will change for the business

The owner didn’t miss the lead — they were alerted to it promptly and chose to act. That’s the difference between a system that captures and notifies versus one that captures and waits until Monday. High-value buyers move fast. The notification keeps pace with them.

Questions about high-value lead notifications

Can I receive instant notifications about high-value leads on my mobile?

Coming soon. Once the AI Receptionist launches, IBIOS will send push notifications or SMS alerts to a designated mobile number when a call is classified as high-value. You will configure the threshold — budget mentioned, project type, referral source — and the system will fire the notification immediately when the call ends, with a summary of the key details.

How does the AI determine a lead is high-value?

Once the AI Receptionist launches (coming soon), IBIOS will listen for signals during the call: budget amounts mentioned by the caller, project scope (full room refurbishment versus single fitting), referral source (trade fair, showroom visit, recommendation), and urgency indicators. These signals will be weighted and, if they exceed your configured threshold, the lead will be flagged as high-value.

What lead details does the notification include?

The notification (coming soon) will include the caller’s name and number, a one-sentence project summary, the budget figure if mentioned, and the referral source if known. Enough to decide at a glance whether to call back immediately or let the provisional booking proceed to Monday.

Can the AI take different actions depending on whether I am available or not?

Coming soon. Once the AI Receptionist and call routing launch, you will be able to configure a tiered response: if you respond to the notification within a set window, IBIOS will connect the call directly to your mobile. If you don’t respond within the window, the AI will proceed with a full enquiry capture and provisional booking, and the lead will sit ready for Monday morning.

Can I listen to the call recording before calling back?

Coming soon. Recording of AI-handled calls is part of the AI Receptionist, which is not live yet. Once it launches, every AI-handled call will be recorded and stored in IBIOS, linked to the CRM record, and you will be able to play back the full call from the dashboard or the mobile app before dialling the customer, so you know exactly what they said, in their own words, before the conversation continues.

High-value leads shouldn’t wait until Monday to be noticed.

Coming soon: the IBIOS Receptionist will capture, classify, and notify you as soon as the call ends. Early access by waiting list.
