Coming soon — Use Case

Bathroom emergency on a Sunday evening. IBIOS will capture the lead before Monday.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. A homeowner who has just decided to replace their bathroom is at peak motivation on a Sunday evening. If they hit voicemail, that motivation does not carry to Monday morning. IBIOS will answer, gather the enquiry, book a provisional survey, and have the lead waiting in your dashboard when you arrive at work.

Why is Sunday evening the worst time to miss a call?

Sunday evening. A homeowner has just noticed water staining beneath their bathroom suite — it’s been failing for months and they’ve been ignoring it. Tonight they’re not ignoring it. They’re ready. They have a rough budget, they’ve looked at your website before, and they want to start a conversation tonight while the decision is live.

They ring your showroom number. Voicemail. They don’t leave a message — they want to speak to someone, not record a monologue into a machine. They google “bathroom showroom near me.” The next result has a booking widget. They book a Monday morning appointment.

By Monday when you open, that job is already scheduled with a competitor. The caller hasn’t called you back because they’ve already moved. You don’t know the call happened. The voicemail has no message to miss.

How will the AI receptionist capture a Sunday evening enquiry (coming soon)?

A step-by-step walkthrough of a lead captured outside business hours without any staff involvement.

01

Sunday evening: caller spots water damage

Homeowner notices water staining from a failing bathroom suite. They’re stressed and motivated — want to start planning a replacement tonight while the urgency is fresh. They ring the showroom number. Voicemail. They google another showroom.

02

IBIOS will answer immediately

With IBIOS running, the call will be answered straight away. The AI will greet the caller professionally and asks how it can help. The caller explains their situation: urgent bathroom replacement, with a rough budget in mind.

03

Enquiry gathered, urgency flagged

IBIOS will capture the caller’s details, project description, and budget. The system will detect the urgency from the caller’s language and mark the CRM record as a priority enquiry.

04

Survey booked provisionally for Tuesday

IBIOS will check the survey calendar. Tuesday is the earliest slot. The caller confirms. A provisional booking is created and the caller is told staff will confirm it Monday morning and send them a message.

05

Owner sees it first thing Monday

The IBIOS dashboard shows a Sunday evening priority enquiry: bathroom replacement, survey provisional Tuesday, full conversation transcript. The lead was captured without a single staff hour on Sunday.

What will change for the business

Weekend and evening callers are not edge cases — they are often the most motivated buyers. The decision to replace a bathroom happens at home, in the evening, after a problem becomes visible. The showroom that answers that call owns the job.

Questions about out-of-hours emergency enquiries

Can the AI book survey appointments outside business hours?

Yes, once the AI Receptionist launches (coming soon). IBIOS will check your live survey calendar for available slots and only offer times that genuinely exist. If Tuesday is the earliest available, the AI will offer Tuesday. Once the caller selects a time, the provisional booking will be created in IBIOS and flagged for confirmation by staff on Monday morning.

Does the AI understand the difference between an urgent and a routine enquiry?

Yes, once the AI Receptionist launches (coming soon). IBIOS will use intent and urgency signals during the call. When a caller describes an existing failure — water damage, a failing suite — the system will classify the enquiry as urgent and apply a higher-priority flag to the CRM record. Staff see it at the top of the morning review queue, not buried among routine callbacks.

What happens to the booking when the team arrives Monday morning?

The provisional booking and the full call transcript are in the IBIOS dashboard. Staff confirm the appointment, send the customer a booking confirmation, and the surveyor’s schedule updates. The customer does not need to call again — they already have a provisional slot and will receive a confirmation message.

Can I set different scripts for emergency versus standard after-hours calls?

Coming soon. Once the AI Receptionist launches, you will be able to configure IBIOS to detect emergency keywords and respond with an appropriate tone and process. An emergency call can be routed to a priority callback queue, offered an earlier survey slot if available, or escalated to a mobile number for high-value situations.

Is there a way to route emergency calls to a mobile number instead?

Coming soon. Once the AI Receptionist launches, you will be able to configure an emergency escalation threshold — for example, a caller describing active water damage or a failing bathroom suite — to trigger an out-of-hours notification to a designated mobile. The owner or manager decides whether to call back immediately or let the AI handle the booking and review it Monday morning.
