Coming soon — Use Case

Three customers ring at once. IBIOS will handle the overflow.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. Monday morning is often a busy time on the phones. When three calls arrive at once and you have one person on the desk, the unanswered callers may try someone else. IBIOS will answer overflow calls alongside your team, gather details, and book callbacks while your staff member is still on the first call.

What happens when three calls arrive at once on a Monday morning?

Monday morning. Showroom just opened. One staff member is on the desk, one is catching up on emails from Friday. Three calls arrive at once. The first is answered. The second rings out and the caller hangs up. The third goes to voicemail; the caller doesn’t leave a message.

Those two callers may not wait. They were already in a decision-making mindset, ready to enquire. If the next number on their search results picks up, they may book a survey elsewhere.

It can happen on any busy morning. You don’t see it because there’s no record of the calls that didn’t connect. But the gap in your diary at the end of the week represents enquiries that arrived and were never captured.

How will the AI receptionist handle overflow calls (coming soon)?

A step-by-step walkthrough of how all three calls will be captured when they arrive together.

01

Three calls arrive at once

Monday morning, the showroom has just opened. Staff member takes call 1. Calls 2 and 3 ring simultaneously. Without IBIOS they ring out — two callers who were ready to enquire now dial someone else.

02

AI opens two parallel sessions

IBIOS will answer call 2 and call 3 at the same time, each in a separate session. Both callers will hear a professional greeting and begin their enquiry immediately. Neither caller waits, neither hears a busy tone.

03

Details gathered, questions answered

Each AI session will ask the caller what they need, check your live IBIOS data for relevant answers — current quote, product availability, job status — and capture full contact details for follow-up.

04

Callbacks booked automatically

Where a caller wants to speak to someone, the AI will offer a callback slot from your team’s live availability. The slot will be confirmed and a CRM record created with the full conversation summary attached.

05

Staff see all three enquiries on the dashboard

The IBIOS dashboard will show call 1 logged by the staff member and calls 2 and 3 with full AI transcripts and booked callbacks. The morning starts with every enquiry captured, not two of three lost.

The expected outcome

Once the AI Receptionist launches, the aim is that overflow callers are answered, their details are captured and callbacks are booked, without adding staff to the desk. The value is not just the extra enquiries on one Monday morning. It is capturing overflow calls across every busy period of the week, so enquiries that would have gone unrecorded reach your diary.

Questions about call overflow handling

Can IBIOS handle multiple calls at once?

Coming soon. Once it launches, the AI Receptionist is designed to answer overflow calls in parallel. When several calls arrive together, each one will be answered independently. Each caller will get a full conversation, not a queue message or a busy tone.

What happens if the AI is already on a call when another arrives?

Once the AI Receptionist launches (coming soon), a second AI session will open instantly for the new caller. The two calls will run in parallel without either caller experiencing a wait. Every session will be logged separately in IBIOS with its own transcript, CRM record, and any callback slot that was booked.

Does the AI know which calls a staff member is already handling?

Coming soon. IBIOS will use your phone system’s call state to distinguish between answered calls and overflow. When a staff member picks up line 1, the AI will take line 2 and line 3 without any manual handoff or configuration change needed in the moment.

How does the AI sound when answering an overflow call?

Coming soon. Callers will hear a professional greeting in your business name. The AI will not announce itself as a call overflow system. It will introduce itself as your receptionist, gather the enquiry naturally, and handle common questions using your live IBIOS data — product availability, job status, quote references.

Can I see which calls were handled by AI versus staff?

Yes, once the AI Receptionist launches (coming soon). Every call record in IBIOS will be tagged with its handler — either the staff member who answered or the AI session that managed it. Your morning dashboard will show both, with full transcripts and any follow-up actions for AI-handled calls clearly highlighted.

Coming soon: stop losing the second and third call of every rush.
