Coming soon — Use Case

They cancelled months ago. They’re calling back. IBIOS will reconnect them.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. A customer who cancelled for personal reasons and returns months later is one of the easiest conversions in your pipeline — if you can pick up the relationship where it ended. IBIOS will surface their full history so staff never ask a returning customer to start over.

What happens when a cancelled customer calls back without context?

Customer cancelled their bathroom job in October — personal reasons, family situation changed. They said they’d be back. In April they ring again, ready to restart. Staff member who answers has no context. Treats them as a new enquiry. Asks for their name, their address, what they’re looking for, their budget.

The customer has already been through this once. They had a survey done. They had a quote. They invested time in this relationship. Being treated as a stranger after months away feels like none of that mattered. The trust built in October evaporates at the start of the April call.

They don’t rebook. Not because your price is wrong. Because the experience told them they’re a number, not a client. That job — already surveyed, already quoted — goes to someone else.

How will the AI receptionist handle a cancelled-job reactivation call (coming soon)?

A step-by-step walkthrough of how IBIOS will turn a long gap into a natural continuation.

01

Returning caller rings in April

Customer cancelled their bathroom job in October — personal reasons, said they’d return. They’re calling back in April, ready to restart. The AI will answer.

02

Full history retrieved instantly

The caller gives their name. IBIOS will match them to their record: the quote from last year, the job cancelled in October, cancellation reason logged as “personal — will return.” The full context, ready during the call.

03

AI acknowledges the returning customer

The AI will note warmly that it can see they had a quote with the business last year and ask if they’re calling to pick things back up. No awkward “can I take your name please?” No new-customer flow. The customer feels remembered.

04

Reactivation callback logged with history attached

The AI will create a reactivation callback task with the full job history attached. Staff member who takes the call opens it knowing the customer’s name, original quote value, and cancellation reason before saying hello.

05

Relationship picks up where it left off

Staff call back and open with context: the original quote can be reissued, prices may need a small update. Customer is pleased that the gap didn’t reset the relationship. Job rebooked.

The expected outcome

Once the AI Receptionist launches, the aim is that the returning customer’s history is surfaced during the call, they do not have to explain the job again, and a reactivation callback is scheduled with the original job context attached.

Cancelled jobs that return are already surveyed, already quoted, and already familiar with your work. They are often easier to convert than new leads. IBIOS keeps those records, and once the AI Receptionist launches every returning caller will be treated as the returning client they are.

Questions about cancelled job reactivation

How long does IBIOS keep cancelled job records?

Cancelled job records are retained indefinitely in IBIOS. They are flagged as cancelled in the system but remain fully accessible with all associated quotes, notes, and correspondence. There is no automatic deletion. Records can be manually archived if required, but reactivating a cancelled job is a single-click action.

Can IBIOS flag returning customers automatically?

Coming soon. When a call arrives from a number linked to a cancelled or inactive job, IBIOS will flag it in the screen-pop before the staff member answers. The flag will include the last status, the cancellation reason if recorded, and the date the job was cancelled. Staff will not walk into that call blind.

What information from the original job is available when they call back?

All of it. The original quote total, scope notes, bathroom dimensions if recorded, installer preferences, survey date, and any notes added at cancellation. If the cancellation reason was “personal — will return”, that note is visible. Staff have the full picture without asking the customer to repeat themselves.

Can I set up a follow-up campaign for cancelled jobs after a set period?

Coming soon. Automated follow-up reminders for cancelled jobs, at intervals you define, are not live yet. When they launch they will appear as tasks in your dashboard; customer SMS from IBIOS is also coming soon. Until then, staff can find cancelled jobs in IBIOS and follow up themselves.

Does the AI treat a returning customer differently from a new one?

Yes, once the AI Receptionist launches (coming soon). When IBIOS identifies an inbound number linked to an existing record, the AI will greet the caller by name and acknowledge the previous relationship. It will not go through the full new-enquiry flow. The call will be handled as a continuation of an existing relationship, which is exactly how a returning customer expects to be treated.

Every cancelled job is a future reactivation opportunity.

Coming soon: IBIOS will recognise the returning caller and pick up the relationship where it ended. Early access by waiting list.
