One-Click Acceptance

Customers accept quotes with one click.

IBIOS emails your customer a secure link the moment a quote is approved. They click, confirm, and the job is accepted — no phone call, no chasing, no manual step.

Acceptance triggers a Stripe deposit payment request automatically. Turn a quote into a confirmed, paying job without a phone call.

The “they went quiet” problem

You send a quote. The customer says they’ll think about it. A few days pass. Someone calls, leaves a message. A few more days. A follow-up email. By the time you get a verbal yes, your diary has moved on.

Meanwhile the customer was ready to go days earlier — they just didn’t know how to say yes without ringing back and committing on the phone.

The acceptance link removes every barrier between “I want this” and “it’s booked.” The customer reads the quote at their own pace, clicks Accept when ready, and the job is in your system before they close the browser.

From approved quote to deposit paid — automatically

Three steps happen without any staff involvement once the quote is approved.

01

JWT-secured magic link

Each link is cryptographically signed and tied to a specific quote and customer. It cannot be guessed, shared to accept a different quote, or extended beyond its expiry without staff action.

02

Instant status update

The moment a customer accepts, the quote status updates in IBIOS and the job owner receives a notification. No polling delay, no manual step — the record reflects reality the second the customer confirms.

03

Automatic deposit trigger

Acceptance triggers Stripe to create a deposit payment link at your configured percentage. The payment request is emailed to the customer straight away — converting acceptance to cash without a follow-up call.

What does the customer see when accepting a quote online?

The entire flow is designed to feel like a professional, branded experience — not a generic form.

Step 1 — Email lands in their inbox

A clean, branded email with your company name, the quote reference, total price, and a single prominent button: “View and accept your quote.”

Step 2 — They review the quote

A mobile-friendly page shows the full quote: line items, totals, scope, and any notes your team added. No login required. No account to create.

Step 3 — They click Accept

A confirmation prompt shows the deposit amount and payment details. They confirm, and then receive the Stripe deposit payment link. Job done.

Who are online quote acceptance links for?

Any business where quote-to-job conversion involves a phone-based confirmation bottleneck.

Bathroom installers

Customers often go quiet after receiving a quote. A clear, one-click acceptance link removes the friction of phone tag and chases itself by expiring visibly.

Showroom sales teams

No more chasing customers to confirm over the phone. The moment they accept online, your team knows immediately and can book the survey date without delay.

Businesses collecting deposits

The automatic Stripe deposit link turns acceptance into a payment event. Customers who have clicked Accept are already in the mindset to pay — the prompt arrives at exactly the right moment.

Multi-installer operations

When acceptance is digital, job assignment can start immediately. No waiting for a phone confirmation before scheduling surveyors or allocating fitting dates.

Questions about quote acceptance links

How does the quote acceptance link work?

When a quote is approved internally, IBIOS generates a JWT-signed magic link and emails it to the customer. The link opens a clean acceptance page showing the full quote, scope of work, and price. The customer clicks Accept, confirms their details, and the job is marked accepted in IBIOS instantly — no phone call or manual chasing required.

Is the link secure?

Yes. Each link is signed with a JSON Web Token (JWT) that is unique to that quote and customer. The token cannot be guessed, cannot be reused for a different quote, and expires automatically. If a customer tries to use an expired or tampered link, they see an error page and are invited to contact your team.

How long is the acceptance link valid?

Links expire after a set period. This gives customers enough time to review without leaving quotes open indefinitely. If a customer misses the window, your team can regenerate a fresh link from the IBIOS quote panel with one click.

What happens when a customer accepts?

Three things happen simultaneously: the quote status is updated to “accepted” in IBIOS, a staff notification is sent to the job owner, and a Stripe deposit payment link is created and emailed to the customer. The deposit amount is calculated from the quote total using your configured deposit percentage.

Can customers decline via the link?

Yes. The acceptance page includes a Decline option. If a customer declines, they are prompted to leave a brief reason. The quote is marked declined in IBIOS, the job owner is notified, and the reason is stored against the quote record for your sales review.

Does the acceptance link work on mobile?

Yes. The acceptance page is fully responsive and works on any smartphone or tablet. Most customers receive the email on their phone, so the entire flow — from email tap to accepted status — is designed to be quick to complete on mobile.
