Use Case

Customer accepts the quote online. Deposit paid without a phone call.

Customers review quotes in their own time, often in the evening. With an embedded acceptance link and card payment, they confirm the job and pay the deposit in one sitting. Your team arrives in the morning to a confirmed job and the deposit already paid.

Why does “I’ll call them Monday to confirm” lose jobs?

A quote goes out on Friday afternoon. The customer is interested — they have been thinking about this bathroom for months. But confirming it requires a phone call during office hours to discuss deposit payment. The weekend passes. Monday morning, your team calls. The customer says they are still thinking. By Wednesday, they have booked with someone who sent a payment link on Friday evening and had the job confirmed by Saturday morning.

The friction between “interested” and “committed” is where many bathroom quotes are lost. Customers who are ready to proceed on a Sunday evening are not ready to make a phone call during your opening hours. The quote sits in their inbox until the motivation fades — or until a faster competitor captures their attention.

Removing the friction requires letting customers take the final step — acceptance and deposit payment — at the precise moment they are ready. IBIOS makes that possible without any change to how your team produces quotes.

How does online quote acceptance close the gap between quote and commitment?

A step-by-step account of what happens from the moment the quote is sent to the job appearing confirmed in the dashboard.

01

Quote sent with acceptance link

Staff finalise the quote in IBIOS and send it to the customer. The email or message includes a secure, personalised acceptance link alongside the quote document.

02

Customer reviews at their convenience

The customer opens the quote on their phone or laptop — often in the evening, after work. They read the itemised summary and total on a clean, branded page.

03

One click to accept

The customer clicks Accept. IBIOS logs the acceptance with a timestamp. The quote status updates in the dashboard immediately — no staff action required.

04

Deposit paid by card

After accepting, the customer is shown the deposit amount and a card payment screen. They pay on the same page, on the same device.

05

Staff arrive to a confirmed job

By morning, the IBIOS dashboard shows the job as accepted and deposit paid. Staff can immediately schedule the survey, assign an installer, and place supplier orders — the sales cycle is closed.

What changes for the business

The deposit collected on acceptance is not just cash flow — it is commitment. A customer who has paid a deposit is far less likely to keep shopping around. The acceptance link closes the job at the moment the customer’s interest peaks, rather than waiting for a phone call window that may never arrive.

Questions about online quote acceptance and deposit payment

What does the customer see when they click the acceptance link?

The customer sees a clean, branded page showing their personalised quote — itemised products, total price, and your payment terms. They can review the full document, accept with a single click, and proceed to pay the deposit by card. The page is mobile-responsive and works on any device without requiring an account or login.

Can they pay a partial deposit or only the full deposit amount?

The deposit amount is set by your team when the quote is prepared — either a fixed figure or a percentage of the total. The customer pays the amount specified; they cannot alter it on the acceptance page. If a different deposit arrangement is agreed verbally, your team updates the quote in IBIOS before sending the acceptance link.

What happens if they accept but do not pay the deposit immediately?

Acceptance and payment are tracked separately. If a customer clicks accept but exits before completing payment, IBIOS logs the acceptance. Your team can see in the dashboard that acceptance has happened without payment, and follow up directly. An automatic payment reminder at a configurable interval is coming soon.

Does IBIOS notify the business when acceptance and payment land?

Yes. The moment a customer accepts the quote and again when payment clears, a notification is sent to the nominated staff member — typically the sales lead or office manager. The notification includes the customer name, job reference, quote total, and deposit amount received. Staff do not need to check the dashboard — the information comes to them.

How is the accepted quote reflected in the job record?

On acceptance, the quote status in IBIOS moves from Sent to Accepted automatically. The job linked to that quote updates to reflect the confirmed status. The deposit payment is logged against the financial record for that job. Staff arriving in the morning see a job that is ready to schedule — survey date, installer assignment, and order placement — without any manual status update.
