Job complete. Final balance collected before the van leaves.
Waiting weeks for a final invoice to be paid ties up cash you have already earned. With IBIOS, the installer sends a payment link (by email, or pasted into their own message) the moment the job is finished, and the customer can pay the outstanding balance by card on their phone before the tools are packed.
What does “invoice sent, awaiting payment” actually cost a tradesperson?
The installation is finished. The customer is delighted. The installer packs up and reports back to the office. A few days later, staff raise an invoice, email it, and add it to the payment-chasing list. The customer means to pay — they are just busy. Weeks pass. A reminder goes out. Eventually, they pay.
For a busy installation business, several final balances sitting unpaid for weeks add up to a significant amount of delayed cash at any given moment. That gap affects your ability to pay suppliers on time, order materials for the next job, and plan staffing with confidence.
The problem is structural: the collection step happens hours or days after the moment when the customer is most satisfied and most willing to pay. Moving collection to the moment of completion — while goodwill is highest — changes the dynamic entirely.
How does IBIOS collect the balance on the day the job finishes?
A step-by-step account of what happens from job completion to payment confirmed — all on the same day.
Installer marks job complete
On the last day of the installation, the installer updates the job status in the IBIOS mobile app to complete. This triggers the final balance calculation from the confirmed quote.
Payment link generated in the app
The installer taps "Send payment link" in the app. IBIOS generates a secure payment link with the outstanding balance pre-filled, linked to that specific job record.
Link sent to the customer
The installer emails the link or pastes it into their own text message, with the job reference and amount due. The customer receives it while the installer is still on-site.
Customer pays by card on their phone
The customer opens the link and pays the outstanding balance by card — the page works on any smartphone browser, with no app to download. Payment is processed and confirmed immediately.
Job record updated, payment confirmed
IBIOS reconciles the payment automatically. The job's outstanding balance clears. Staff and the installer both receive a confirmation notification. The van leaves with the job financially closed.
What changes for the business
Beyond cash flow, same-day collection removes the administrative overhead of invoice chasing entirely. Staff time spent on payment reminders — calls, emails, follow-ups — shifts to work that moves the business forward. The installer closes the financial side of the job before leaving the customer’s driveway.
Questions about on-site payment collection
How does the installer generate the payment link on-site?
The installer opens the IBIOS mobile app, navigates to the job record, and taps "Send payment link". The link is generated with the outstanding balance pre-filled and sent by email, or the installer copies it into their own text message. If the customer is present, it can be shared directly. Customer SMS from IBIOS is coming soon.
Can the customer pay by bank transfer instead of card?
Yes. The payment page shows card payment as the primary option, but also displays your bank sort code and account number for customers who prefer to transfer. If a bank transfer is chosen, IBIOS does not auto-reconcile immediately — staff mark the payment as received once the transfer clears in your account. The outstanding balance remains visible in the job record until that step is taken.
What happens if the customer wants to split the final payment?
Partial payments are supported. If a customer pays part of the balance, IBIOS updates the outstanding amount on the job record automatically. The remaining balance is visible to staff so they know who to follow up with. Staff can also generate a new payment link for the remainder at any time from the job record.
Is the payment automatically reconciled against the job record?
Card payments are reconciled automatically — the moment the payment clears, the job's outstanding balance updates to zero and the payment is logged with amount, date, and reference. Bank transfers require a manual confirmation step from staff. Both routes produce an audit entry on the job record, so the payment history is always visible regardless of method.
What if the payment fails or is disputed?
A failed card payment is shown immediately on the customer's payment page, allowing them to retry with a different card or contact their bank. The job record in IBIOS reflects no payment until one clears — there is no false positive. In the event of a chargeback or dispute, the payment record in IBIOS includes the timestamp, amount, and transaction reference, which supports your response to the card processor.
