Kitchen Fitting & Retail

Quotes built from supplier PDFs. Supplier orders linked to every job.

Kitchen fitting is high-value, high-complexity work. Multi-supplier quotes, tight delivery coordination, and customers who want answers while you are on site. IBIOS handles the quotes, orders and payments so you can focus on the fitting. AI phone answering is coming soon. IBIOS is quoting and job software for UK kitchen fitters, made by IBIOS Limited (NI743167) in Northern Ireland; access is by waiting list.

A day in a kitchen fitting business without IBIOS

You are on site fitting a kitchen that starts today. The unit delivery arrived, but some soft-close drawers are missing. You need to call the supplier to chase them. At the same time, your business phone keeps ringing — probably a new enquiry from the showroom advertising campaign you ran last week. You cannot answer.

The quote for the Thompson survey last Thursday still needs writing. It requires pricing from several different suppliers, cross-referenced against the customer’s specifications. That means a long stint at a desk you will not reach until the evening.

Some of this week’s jobs have outstanding deposit balances. You will need to chase those separately. Everything requires a separate action, a separate tool, or a separate phone call.

Coming soon: a typical call — what the office manager will do

Planned scenario: a showroom customer calls mid-morning about their quote status while the sales staff are with other customers.

1

Coming soon: the AI office manager answers the call. The caller is a homeowner who visited the showroom last Tuesday and wants to know whether their quote has been sent yet.

2

The office manager checks the job record: the quote was generated but is still in draft review. It tells the customer accurately: the quote is being finalised and they will receive it today.

3

The caller then asks whether the island worktop they saw in the showroom is available in a slightly darker finish. The office manager notes the question, logs it against the job record, and flags it for the sales team to address in the quote email.

4

The call ends. A staff member sees the flag in their dashboard: customer wants darker worktop finish — include options in quote email.

What do kitchen fitters ask about IBIOS?

Can IBIOS handle quotes that include both units and appliances from different suppliers?

Yes. A kitchen quote can include products from multiple suppliers. Each line item is linked to the relevant supplier in IBIOS, so you can raise separate supplier orders directly from the same quote without re-entering anything. Deliveries and invoices are tracked per supplier against the job.

What happens when a customer wants to change a door colour after the order is placed?

Changes are logged against the quote version in IBIOS. You can create a new quote revision, adjust the line items, and send the updated version to the customer for approval. The original version is preserved. Coming soon: the AI office manager will be able to tell callers that a change is in progress and give them an expected timeline if you have set one.

Will the AI answer technical questions about kitchen units during a call (coming soon)?

Coming soon. When the AI Receptionist launches, it will answer from information you have provided — your supplier catalogues, product specifications, and internal notes. It will not invent specifications. If a caller asks something specific that is not in your knowledge base, it will take a message and flag it for your team rather than guessing.

We have a showroom and do site visits. Does the system support both workflows?

Yes. IBIOS keeps showroom customers and site-survey jobs in the same CRM (walk-in bookings are coming soon). Each customer record shows all interactions regardless of channel. A customer who first enquired, then visited the showroom, then had a survey will have a single continuous record showing every touchpoint.

How does IBIOS handle the gap between deposit and balance payments?

IBIOS tracks deposit and balance separately against the job, gives managers a list of balances to chase, and lets customers pay by link. Automated payment chasing is coming soon: it will trigger a number of days before the balance is due and, if payment is not received, escalate to a staff alert rather than continuing to chase automatically.

Stop writing kitchen quotes by hand.
