Coming soon — Use Case

Serious buyer chasing a quote. Bank holiday Monday. IBIOS won’t take the day off.

The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. A customer who has decided to proceed on a bathroom quote will not wait another day. If they hit voicemail on a bank holiday, their next call is to the second quote. IBIOS will answer, confirm the quote is still valid, capture the “ready to proceed” intent, and have the deposit call queued for Tuesday morning.

Why are bank holiday quote calls so valuable to a trade business?

Bank Holiday Monday. A homeowner received a bathroom quote a while ago. They’ve been thinking it over. The bank holiday gave them time to discuss it with their partner. They’ve decided: they want to go ahead. They call to say so. Voicemail.

They have been weighing it up for a while. They don’t want to wait another day now that they’ve made the decision. Decisions made over a bank holiday are emotionally fresh and practically motivated. The same momentum that drove them to call today will drive them to call the next quote on their list if you’re not available.

By Tuesday morning when you open, the customer has spoken to other businesses. One of them answered on Monday and confirmed their quote was still valid. They got the job. Your quote did not lapse because of price or product — it lapsed because you weren’t there when the customer decided.

How will IBIOS save a quote on a bank holiday (coming soon)?

A step-by-step walkthrough of how a bathroom quote is protected without any bank holiday working.

01

Bank Holiday Monday: buyer ready to proceed

Customer received a bathroom quote a while ago and has now decided to go ahead. They ring on Bank Holiday Monday to confirm. Voicemail. They’ve been thinking it over for a while. They call the second quote they received. That business answers. They lose the job.

02

IBIOS will answer and the customer explains

Once the AI Receptionist launches (coming soon), the call will be answered on the bank holiday. Customer says they want to proceed with the bathroom quote they received recently. IBIOS will locate the customer record and pending quote.

03

Quote confirmed valid, intent captured

Coming soon: IBIOS will confirm the quote is still valid, ask if the customer would like to proceed and note their intent to pay a deposit. Customer confirms yes. IBIOS will create a callback request flagged as “ready to proceed — deposit call.”

04

Tuesday morning: deposit call first in queue

Staff arrive Tuesday and see a bank holiday callback at the top of the queue: customer ready to proceed on their bathroom quote, confirmed by AI on Monday. Deposit is taken first thing on Tuesday. The quote did not lapse.

First call

on Tuesday morning: deposit taken, job confirmed

Quotes do not lapse because of price. They lapse because the customer was ready and the business wasn’t reachable. IBIOS will close that gap (coming soon) on bank holidays, weekends, and evenings — so your Tuesday morning will start with a confirmed job, not a missed opportunity.

Questions about bank holiday quote calls

Can IBIOS retrieve open quotes during an AI call?

Coming soon. Once the AI Receptionist launches, IBIOS will query the live IBIOS quote records during the call. If the customer references a quote by job description, date, or approximate value, the AI will locate the matching record and confirm the quote reference, value, and current validity status without staff involvement.

What happens after the AI flags a “ready to proceed” callback?

Once AI calls launch (coming soon), a priority callback record will be created in IBIOS, tagged as “ready to proceed — deposit call.” It will appear at the top of the follow-up queue when staff arrive Tuesday morning. The record will include the quote reference, the confirmed value, and a summary of what the customer said. Staff call back knowing the customer has already decided.

Can customers leave a card deposit via the AI?

AI voice calls are coming soon. Direct card payments via the AI voice call are not supported. IBIOS will capture the intent to pay and create the priority callback so the deposit is taken immediately on Tuesday morning. Pay by link is live: staff can send the payment link by email or copy it into their own message after the call.

Does IBIOS send an automated follow-up after a quote?

Not yet. Automatic quote follow-up is coming soon, and customer SMS from IBIOS is also coming soon. Today, the quote pipeline shows how long each quote has been waiting, so staff can send the follow-up themselves. Once AI calls launch (coming soon), for calls where a customer mentions a quote they received, IBIOS will cross-reference the timing and include that context in the callback record.

Is there a way to see which quotes are at risk of lapsing?

Yes. The IBIOS quote dashboard shows all open quotes with the date sent and the last contact date. Quotes with no activity after a configurable number of days are flagged in the lapsing queue. This view is separate from the AI call log (coming soon) and gives your team a weekly priority list for proactive follow-up.
