Same customer, two records. AI flags and merges them.
Coming soon: when a returning customer gets a new record because staff couldn't find the old one, IBIOS AI Customer Deduplication will identify the pair, score the match and offer a one-click merge for you to approve. The possible-duplicates view is not live yet.
How do duplicate customer records happen in a CRM?
Duplicate customer records are almost never deliberate. They happen because a customer calls after a long gap and staff search under the wrong spelling of their surname. They happen because a new member of staff doesn't think to search before creating a record. They happen because a customer gives a mobile number this time instead of the landline they used before.
The consequences pile up quietly. A quote is attached to the new record, a job is attached to the old one, and the next staff member to deal with this customer sees a partial picture. Worse, the business now has two contacts in any mailing or follow-up campaign. An owner auditing the records a year later finds the same address appearing twice and has no easy way to reconcile which history belongs where.
Coming soon: IBIOS deduplication, designed to catch this at the point of creation before it compounds. The merge will need an owner decision and will never be automatic, because even a strong match can be two different people.
How will IBIOS find and merge duplicate customer records?
Coming soon, not live yet. This is how IBIOS is designed to detect, flag and merge a duplicate customer record.
Returning customer, new record created
A customer last seen some time ago calls in. Staff search by name, don’t find them, and create a new record. The original record is present but under a slightly different name spelling. Two records now exist.
Duplicate flag (coming soon)
As the new record is saved, IBIOS will run a deduplication check. It will match the postal address and surname across both records and generate a duplicate flag with a high confidence score.
Owner notified in dashboard
The duplicate flag will appear in the owner’s dashboard and, if configured, in the morning briefing. The proposed merge will be shown: primary record, duplicate record, and a summary of what each contains.
Owner reviews and approves
The owner will open the merge proposal, confirm the two records are the same person, and click Approve Merge. No form filling, no manual data copying.
History unified, duplicate archived
All jobs, quotes, and notes from the duplicate record will transfer to the primary record. The duplicate will be archived, not deleted, and the audit log will record the merge with the approving user’s name and timestamp.
What will the outcome be when it launches?
Scored
duplicate matches weighed across name, address, email, and phone signals
1 click
to merge a flagged pair after owner review
Kept
history in an approved merge — all jobs and quotes transfer
Clean CRM data is not an administrative nicety. It is the foundation of every follow-up, every quote revision, every payment chase, and every customer communication that comes after. A duplicate record is a split customer — and a split customer looks like a new prospect when they are in fact a loyal returning buyer with years of history.
Questions about AI customer deduplication
What signals does IBIOS use to detect duplicates — name, phone, address, email?
Postal address, email address, phone number and surname, weighted together; duplicate detection is coming soon and switched off today. It is designed to need more than one matching signal before it flags a pair, so a shared name alone will not produce a flag.
Can it detect duplicates where the customer has changed their phone number?
Yes, if other signals still match, once the feature launches (coming soon). If the address and email match but the phone number has changed, the pair is designed to be flagged; a phone number alone with nothing else matching will not be.
What happens to jobs and quotes attached to the duplicate record — do they transfer?
Yes, that is the design for when the flag-and-merge flow launches; it is coming soon. An approved merge is planned to move jobs, quotes, supplier orders and notes to the primary record and archive the duplicate rather than delete it.
Can a merge be undone if it was done in error?
That will be confirmed when the flag-and-merge flow launches; it is coming soon, not live yet. The plan is to keep the pre-merge state of both records so an administrator can review a merge made in error.
Does the AI flag duplicates in real time on new record creation, or in a scheduled sweep?
Both are planned; duplicate detection is coming soon and not live yet. A check is designed to run as each new customer is saved, so staff can merge before the duplicate is used, with a regular sweep of the whole database to catch older duplicates.
