One showroom became three. The spreadsheets didn’t scale.
Growth is good until the systems break. When locations can’t see each other’s stock, staff quote different prices, and the owner has no central view of the business. IBIOS is built for multi-location from the ground up.
What goes wrong when a trade business outgrows its first location?
The first showroom runs on institutional knowledge and one spreadsheet. The owner knows every customer, every supplier relationship, and every price from memory. When Location 2 opens, the staff there don’t have that knowledge, and the systems that worked for one site don’t transfer. They build their own spreadsheet. The prices drift.
A customer who visited Location 1 last month comes to Location 2 today. Staff at Location 2 have no record of the previous conversation. They quote a different price for the same product. The customer mentions this. It’s embarrassing and it erodes trust.
By the time Location 3 opens, the owner has three separate spreadsheet systems, no central reporting, no visibility of what stock is where, and a growing sense that the business is running them rather than the other way around.
IBIOS is a single system that all three locations run from. One product catalogue. One CRM. Separate stock, separate calendars, separate access controls — but all feeding into one central view for the person who owns the business.
How does IBIOS run stock and pricing across more than one location?
Shared where it should be shared. Separate where it should be separate.
Shared product catalogue
All locations work from the same product catalogue and supplier pricing. One update propagates everywhere. No more location 2 quoting an old price because they hadn’t seen the supplier update.
Separate location stock
Each location has its own goods-in records and stock levels. Staff at Location 1 can see what stock Location 3 holds, which is useful for transferring product to fill gaps rather than placing a new order.
Role-based access per location
A fitter at Location 2 sees Location 2’s jobs and nothing else. A director sees everything. Permissions are set per user, per location, giving you precise control over who sees what.
Central reporting
Owner-level reporting shows aggregate revenue, conversion rate, quote volume, and job status across all locations simultaneously. Drill down to any single location in one click.
The result: consistent pricing, central visibility, independent P&L
Every location quotes from the same pricing. Every customer interaction is recorded in one CRM regardless of which location handled it. The owner sees a real-time summary of the whole business from a single screen. Location managers see their own P&L and operations independently.

Questions about multi-location operations
Is pricing shared across locations or location-specific?
Both options are available. Your product catalogue and trade pricing can be shared centrally so all locations quote the same figures, or you can apply location-specific pricing adjustments for markets with different cost structures. Pricing changes made centrally propagate to all locations automatically.
Can a staff member work across multiple locations?
Yes. A user’s IBIOS account can be granted access to one or more locations. A manager who oversees two showrooms can switch between location views without logging out. A receptionist tied to a single location only sees their location’s data.
How is reporting split by location?
The central reports dashboard shows all-locations aggregate figures by default. You can filter to a single location to see its quotes, jobs, revenue, and conversion independently. Location managers typically see only their own location’s reports unless granted wider access.
Does each location have its own calendar?
Yes. Installation calendars and fitter availability are managed per location. The central view allows an owner or director to see all locations’ calendars simultaneously. Location managers see their own calendar by default.
What about separate Xero entities for each location?
Xero sync is coming soon. When it launches, if each location operates as a separate legal entity with its own Xero account, IBIOS will be configurable to route invoicing to the correct entity; if all locations are under one entity, a single Xero connection will cover everything.
