Quote sent Monday. Thursday: silence.
Many bathroom jobs are lost to inertia rather than price. The quote sits in a customer’s inbox, they mean to reply, and life gets in the way. Coming soon: IBIOS will follow up automatically and stop the moment they respond. Live today: the quote pipeline shows how long each quote has been waiting, so your team can see which ones need a follow-up and send it themselves.
Why are so many bathroom jobs lost after the quote is sent?
You survey the bathroom, spend time working up a proper quote, and send it across. The customer was enthusiastic during the survey. Now it’s Thursday and you have heard nothing. You’re not sure whether to call — you don’t want to seem pushy, and you have other jobs to focus on. So you don’t call. Neither does anyone else on the team.
Later you find out the customer went with someone else. Not because of price. Not because of quality concerns. Because the other company followed up and yours didn’t. This is a common and preventable source of quote attrition in trade businesses — and it costs nothing to fix once you have a system that does the follow-up for you.
The problem is not motivation. It’s that systematic follow-up requires someone to own it, remember to do it, and actually make the call even when it feels awkward. Coming soon: IBIOS will send professionally worded follow-ups at set intervals, automatically, that read as natural and helpful rather than desperate. Until then, the quote pipeline shows your team which quotes are waiting and for how long.
How will the IBIOS quote follow-up sequence work?
Coming soon, not live yet. The planned sequence from quote sent to job won.
Quote document sent to the customer. Live today: IBIOS logs the send timestamp and the quote pipeline shows how long it has been waiting.
“Hi [Name], just checking you received our quote for your bathroom project — happy to answer any questions. Reply or call us on [number].”
“Reminder: your quote for your bathroom is available — let us know if you’d like to discuss or have any questions. No pressure — we’re here when you’re ready.”
Planned: the sequence stops and no further messages are sent.
The result: systematic follow-up, not sporadic effort
Once automatic follow-up launches (coming soon), every quote will be followed up, every time, with consistent messaging and timing, rather than relying on staff to remember. Until then, the quote pipeline shows which quotes are waiting, so nothing is missed by accident.
Every quote
followed up, not just the ones someone remembered
Auto-stop
planned: the sequence halts when payment is received or the quote is accepted
No awkward calls
planned: staff will no longer need to make an uncomfortable chase call
Questions about quote follow-ups
Will I be able to customise the follow-up messages?
Yes, when automatic follow-up launches (coming soon). The message templates are planned to be editable: the wording, the tone, the timing, and your business name and contact details. Until then, your team writes and sends its own follow-ups.
Will it stop automatically when they pay or accept?
That is the plan. When automatic follow-up launches (coming soon), recording a payment in IBIOS or marking the quote as accepted will stop the sequence, so a customer who has already paid is not chased.
Will follow-ups be sent by SMS?
Not yet. Customer SMS from IBIOS is coming soon and is not live. Today, staff follow up by email or phone, or paste a quote or payment link into their own message.
How many follow-ups will be sent before it stops?
When it launches (coming soon), a short sequence of follow-up messages will be sent. After the last message, the sequence will end whether or not the customer has responded, to avoid becoming intrusive. The number of messages and the timing are planned to be adjustable.
Does this comply with GDPR and marketing consent rules?
Yes. Follow-up messages are classified as transactional communications about an existing quote, not marketing messages, so they do not require a separate marketing consent. They relate directly to a service the customer has already requested. When automatic follow-up launches (coming soon), a customer who asks to opt out will have future follow-ups suppressed.
