AI Receptionist learns your business from your website before going live (coming soon).
The IBIOS Receptionist is coming soon and is not live yet — this scenario shows how it will work. Enter your website URL during signup. Before your AI Receptionist takes a single call, IBIOS will crawl the site autonomously, extract product categories, opening hours, FAQ content, and contact details, and load them into the AI knowledge base. The receptionist will be able to answer common questions accurately from day one — without the owner typing a single answer manually.
Why do most AI assistants need weeks of setup before they’re useful?
The standard onboarding experience for most AI assistant products is a lengthy knowledge base setup: an owner sits down and types in answers to dozens of questions about the business, manually enters opening hours, lists the product categories, copies in FAQ content from the website, and enters contact details that already exist publicly online.
This is the reason businesses sign up and then never fully launch. The setup is presented as a one-time task, but when the owner has an existing website with plenty of accurate, up-to-date business information already on it, typing it all in again feels like precisely the kind of work software is supposed to eliminate.
IBIOS skips this entirely. Your website is your knowledge base. The AI reads it, structures it, and presents it for your confirmation. You verify, not type. Once launched, the AI Receptionist will be ready as soon as you have approved what it learned.
How will IBIOS fill the AI receptionist’s knowledge base from your website (coming soon)?
From URL entry to a live, accurate AI Receptionist in a single onboarding session (coming soon).
Website URL entered during signup
As part of the IBIOS onboarding flow, the new customer enters their business website URL. No plugins, no code changes, and no access to the website backend are required.
Autonomous crawl begins
IBIOS crawls the website, following internal links from the homepage through all publicly accessible pages. The crawl respects robots.txt and any exclusion rules the customer has set.
Content extracted into knowledge articles
IBIOS reads each page and extracts structured knowledge: product categories, opening hours, service areas, FAQ content, pricing guidance, contact details, and brand information. Each extracted item becomes a knowledge article in the AI knowledge base.
Knowledge base review
The generated knowledge articles appear in the IBIOS knowledge review panel. Staff can read, edit, approve, or delete each article before it goes live. Nothing the AI extracted will be used by the AI Receptionist (coming soon) until a staff member has confirmed it is accurate.
AI Receptionist ready for first call (coming soon)
Once the knowledge base is approved, the AI Receptionist will be able to answer questions about the business accurately from the very first call — opening hours, product ranges, service areas, and common FAQs — without the owner having typed a single answer manually.
The expected outcome
The knowledge articles drawn from a typical showroom website cover opening hours, product categories, service areas, fitting and supply-only options, contact details, and the common questions customers ask before visiting. Staff spend their review time confirming accuracy, not creating content, and the AI Receptionist (coming soon) can go live once that review is done.
Questions about website knowledge ingestion
Does IBIOS crawl the entire website or just specific pages?
By default, IBIOS crawls all publicly accessible pages it can reach from the homepage, following internal links up to a configurable depth. You can restrict the crawl to specific sections — for example, only the products and contact pages — or exclude entire URL patterns. The crawl report shows which pages were visited and which were skipped.
What happens if some pages on the website have outdated information?
IBIOS flags knowledge articles that were sourced from a page where contradictory information exists elsewhere on the site. These items appear in the knowledge review queue for a staff member to confirm the correct version. Outdated content that is not flagged as contradictory is imported as-is, so keeping your website current is the best way to keep the AI knowledge base current.
Can I tell IBIOS to skip certain pages, such as staff-only or private pages?
Yes. Exclusion rules are set by URL pattern — for example, excluding any URL containing /staff, /internal, or /login. Pages behind authentication are not crawled automatically, as the crawler only accesses publicly available content. Private or protected pages never enter the knowledge base unless content from them is manually added by a staff member.
How often does IBIOS re-crawl to keep the knowledge base up to date?
Re-crawl frequency is configurable, so you can match it to how often your website content changes. When a re-crawl detects changes to a previously imported page, the affected knowledge articles are flagged for review rather than updated automatically — so the AI Receptionist (coming soon) will never start using new information without a staff member approving the change.
What if my website has no structured FAQs — can IBIOS still extract useful knowledge?
Yes. IBIOS extracts knowledge from any text content on the page: product descriptions, about pages, service pages, and contact information all yield useful knowledge articles. Structured FAQs produce the cleanest extraction, but a well-written services page will generate accurate knowledge about what your business offers, even without an explicit question-and-answer format.
