Bathroom Showrooms & Trade

Built for bathroom showrooms. Every quote followed up. Every order tracked.

A bathroom showroom runs on product knowledge, supplier relationships, and the speed at which you respond to enquiries. IBIOS keeps quotes, customers, supplier orders and stock in one place so nothing slips through when the showroom floor is busy. AI phone answering is coming soon. IBIOS is bathroom showroom software made by IBIOS Limited (NI743167) in Northern Ireland; access is by waiting list.

A day in a bathroom showroom without IBIOS

The showroom opens for the day. The phone rings before the first customer walks in — a plumber chasing the delivery status of a Trojan shower tray for a job starting tomorrow. The only person in the building is on the other line. The call goes unanswered.

By lunchtime there are quotes to write, supplier acknowledgements to chase, and a customer in the showroom asking about tile availability for a bathroom that starts in a fortnight. The shade-lot situation is complicated — you ordered from two batches — but that information is in a folder somewhere, not in front of you.

By closing time, several calls have been missed. Some of those callers have already rung someone else. The quotes from this morning still need sending. The supplier order for next week’s installation still is not raised. This is not poor management — it is the natural result of a complex trade business running on a phone, a spreadsheet, and memory.

Coming soon: a typical call — what the office manager will do

Planned scenario: an installer rings the showroom late in the afternoon. The whole team is with customers.

1

Coming soon: the AI office manager answers the call. It recognises the installer's number from the CRM and greets them by name.

2

The installer asks whether the Carron Delta 1500 for the Henderson job has arrived. The office manager checks the supplier order record: goods were acknowledged this morning, expected delivery tomorrow.

3

It notices — without being asked — that there is an unanswered question from earlier in the week on the same job: the customer asked about a matching bath panel. The office manager offers to pass the question to the installer.

4

The installer confirms yes, they'll measure up on site. The office manager logs the action: follow up on panel measurement Friday.

5

The call ends. A staff member sees the full summary in their IBIOS dashboard when they are free.

Coming soon. This will not be a scripted phone menu. The office manager will reason before responding, use live data, and notice open questions on the same job record. When it does not know something, it will say so and offer to get the answer from a human.

What do bathroom showroom owners ask about IBIOS?

Will the AI answer questions about specific bath or tile products on a call (coming soon)?

Coming soon. When the AI Receptionist launches, it will query your live product catalogue before responding. If a caller asks about a specific bath, it will check whether it is in stock, what the lead time is from your supplier, and what the trade price bracket is — then answer from your records rather than guessing or improvising.

We deal with a lot of trade customers as well as retail. Does that work?

Yes. IBIOS distinguishes between trade accounts and retail customers in the CRM, including whether to quote net or gross pricing and whether to offer trade-account terms. Coming soon: the AI Receptionist will use this to respond to each caller accordingly.

How does shade-lot tracking actually work for tiles?

When a delivery arrives, the operative scans or photographs the delivery note. IBIOS reads the batch and shade-lot references from the document and compares them against the original order. If the incoming shade lot does not match what was ordered, IBIOS flags it immediately — before the goods are distributed to the job site.

Will it handle calls when the showroom is shut at the weekend (coming soon)?

Coming soon. When the AI Receptionist launches, it will answer calls when your team can’t pick up, including outside your opening hours, on your existing business number. It will qualify the caller, capture the enquiry, and log it in your CRM, so your team sees a prioritised list of overnight enquiries when they open on Monday morning.

What happens if a supplier quotes us a new price and we need to update the system?

You can upload a supplier price list PDF or CSV directly to IBIOS. The system reads the document, matches products to existing catalogue entries by MPN or description, and proposes the updates for your review. You approve or adjust before any prices go live.
