Three jobs, one fitter, and someone was told Tuesday.
Scheduling chaos costs bathroom businesses real money: fitters who travel to incomplete deliveries, customers who weren’t reminded and weren’t home, and jobs that overrun because the previous one ran long. IBIOS brings all of this into one schedule.
Why do bathroom installation schedules fall apart?
You have a fitter who can do three jobs in a week. Monday goes to Mrs Henderson in Ballyclare, Wednesday to a new bathroom in Antrim, Friday to a refit in Carrickfergus. The Monday and Wednesday jobs are from a conversation two weeks ago. The Friday job was booked by someone else on the team three days ago. Nobody realised the fitter was already down for a survey on Friday morning. The double-booking only surfaces when he calls first thing on Friday.
Separately, the Wednesday job has a delivery of floor tiles that is running two days late. Nobody knows this when booking the installation. The fitter arrives on Wednesday to find he can’t complete the floor. He leaves after half a day. The customer is annoyed. The job is now in limbo.
Neither of these situations is unavoidable. Both happen because the schedule is not connected to the delivery status, and different people can book the same fitter without seeing each other’s bookings. In IBIOS, clash checks warn about double-booking and goods-in status is visible on the job, in one connected system.
How does IBIOS schedule fitters and installations?
Survey → goods arrived → fitter available → customer confirmed → reminder sent. Each step is recorded on the job, so your team can see where it stands.
Job created and surveyed
Customer job record created in IBIOS with bathroom dimensions, notes, and survey date. Coming soon: survey completion as a prerequisite before installation can be booked.
Goods arrival confirmed
Goods-in status is visible on the job, so your team can see whether tiles or fixtures are still outstanding before setting the installation date. Coming soon: the installation date blocked automatically until goods-in is complete.
Fitter assigned, clashes flagged
Clash checks for each member of staff warn your team when a fitter is already booked for that date. Coming soon: double-bookings blocked automatically. Each fitter sees their own schedule clearly.
Customer confirmation sent
Once the installation is confirmed, your team sends the customer a confirmation with the date, time window, and contact details. No more customers calling to check “what time Tuesday?”
Reminder before the day
Your team reminds the customer before the installation date, using the date saved on the job. Coming soon: an automatic SMS reminder from IBIOS. Reminders help cut down no-access situations where the fitter arrives and no one is home.
The result: a week where the schedule holds
Warned
clash checks for each member of staff warn about double-booking; automatic blocks coming soon
Reminded
customer reminded by your team before each installation; automatic reminders coming soon
Visible
goods-in status on the job before the install date is set; automatic blocks coming soon
The practical difference is a fitter who starts every day knowing exactly where they are going, what will be there when they arrive, and that the customer is expecting them. Fewer wasted journeys, fewer annoyed customers, and more jobs completed on time.
Questions about installation scheduling
Can sub-contractors see their own schedule?
Yes. Sub-contractors can be given a restricted IBIOS login that shows only their own job schedule — dates, addresses, and job notes. They cannot see pricing, margins, or other customers’ records. This gives them the information they need without exposing commercially sensitive data.
Does it sync with Google Calendar?
Not yet. Google Calendar sync is coming soon. Currently, the IBIOS installation calendar is the primary scheduling view. Your team can view it from any device via the web app. If you need a specific integration, contact us and we’ll confirm the current status.
What happens if goods are delayed?
Today your team can see the supplier order status and the goods-in record on the job, so a delayed or incomplete delivery is visible before the install date and the customer can be contacted early. Coming soon: installations linked to a delayed order will be flagged automatically, with a notification to your team.
How do you handle survey-only jobs?
Survey visits are a separate job type in IBIOS. They appear in the calendar independently of installation dates and can be assigned to different staff. Making survey completion a prerequisite before an installation can be confirmed is coming soon.
Can the customer choose their installation date?
Not directly from the customer side — there is no customer-facing booking portal in the current version. Dates are agreed by your team and recorded in IBIOS. The customer-facing experience is the confirmation and reminder your team sends. Customer SMS from IBIOS and automatic reminders are coming soon.
