Mileage tracking for UK businesses (coming soon)
IBIOS Mileage is mileage claims for staff who drive for work: a trip is logged by hand or, later, as a GPS trip the person starts themselves, and a manager approves it. It is coming soon and is not live yet. It is built but switched off while we finish the checks, so nothing is available to customers today.
Who it is for: Businesses whose staff drive to sites, suppliers and customers and claim the miles.

Does IBIOS track mileage today?
No. IBIOS Mileage is coming soon and is not live. Mileage and expenses are part of the same plan as timesheets and the field tracker in IBIOS Workforce, where the schedule board is live today.
In the meantime, the free HMRC mileage allowance calculator works out an allowance for business journeys. It is a calculator, not the IBIOS feature.
How will IBIOS Mileage work?
A member of staff logs a trip by hand, linked to the appointment, job or supplier order it was for, with a type and a purpose. A manager approves it, and nobody can approve their own claim. Approved trips can be exported.
The rate that applied on the day is saved on each trip, so an old claim does not change when rates do. A route that is longer than expected is flagged for a manager to look at. It is never rejected automatically.
Will it track my staff all the time?
No. When GPS trips arrive, IBIOS will record only between a Start and a Stop that the member of staff presses themselves, and staff will be told. A trip entered by hand is marked as not GPS tracked, and a claim can always be entered by hand if a map service is unavailable.
GPS trips are held back until the privacy checks for them are complete. Route detail is planned to be reduced after a period your company sets.
What are the HMRC mileage rates?
HMRC sets them and they can change, so this page does not quote figures. The free calculator shows the rates it uses and does the sum for you, and GOV.UK publishes the official rates. Check them before you pay a claim.

Questions people ask
Does IBIOS have a mileage tracker?
Not yet. IBIOS Mileage is coming soon and is not live. Today IBIOS Workforce has a schedule board, and the free HMRC mileage calculator on this site works out an allowance.
Will IBIOS Mileage use GPS?
GPS trips are planned. They are held back until the privacy checks are done, and when they arrive they will record only between a Start and a Stop that the member of staff presses, and staff will be told.
Who approves mileage claims?
A manager. IBIOS Mileage is designed so that nobody approves their own claim, and approved trips can be exported.
What mileage rate does IBIOS use?
The rates are set by HMRC and change, so this page does not quote them. The free HMRC mileage calculator on this site shows the rates it uses, and each trip will keep the rate that applied on the day.
What can I use for mileage until IBIOS Mileage is live?
The free HMRC mileage allowance calculator on this site. It works out an allowance for car, van, motorcycle and bicycle journeys. It is a calculator, not a tracker.
