IBIOS Meet: video meetings, translation, notes and support in one system, linked to your business

IBIOS Meet is designed to be one system rather than several tools: video meetings and calls with screen share, a waiting room and calendar booking, with live translation, AI notes and summaries, and remote support alongside, all linked to the customer, supplier, quote or job you are meeting about. The video meetings are built and in testing, and are rolling out to founding members. Live translation is planned, will follow in stages and is not part of the first release. The customer record, quotes and jobs it links to are live today.

Who it is for: Any business that meets customers, suppliers or staff on video and wants the meeting booked from the same diary and kept with the customer or job, instead of in a separate meeting tool.

Why one system instead of separate meeting, translation and notes tools?

Many businesses end up with a video tool, a translation tool, a notetaker and a remote support tool, and then copy the outcome by hand into the CRM. IBIOS Meet is designed to keep those in one place and tied to the record: live translation, notes from Appointment Smart Notes, help on a customer’s screen with IBIOS Assist or IBIOS Remote, and the follow-ups that come out of the meeting.

IBIOS Meet is built and rolling out to founding members. Translation and remote support are coming soon. Appointment Smart Notes is live for in-person appointments at Isabella Bathrooms, and the customer record, quotes and jobs they connect to are live today. AI-drafted tasks are drafts that a person confirms. For how this compares with dedicated translation tools, with sources dated 31 October 2026, see IBIOS vs live translation tools.

What is IBIOS Meet, and who is it for?

IBIOS Meet is a video meeting tool that lives inside IBIOS. You start or book a meeting from the customer, supplier or job it is about, the guest joins from a link, and the meeting sits next to the quotes, orders and notes for that customer instead of in a separate app.

It is for showrooms, trades and service businesses that already run customer work in IBIOS, and for any business that simply wants video meetings tied to the diary. It is built and in testing, and is rolling out to founding members, so it is not yet switched on for everyone.

Can I book a video meeting from my calendar?

Yes. IBIOS Meet is built to let you request a meeting, send a calendar invite, let the guest reply from a page, send reminders and be warned if the time clashes with someone’s diary. You will be able to book on IBIOS Meet, or set up a meeting with Zoom, Microsoft Teams or Google Meet and paste the link.

The IBIOS booking calendar for showroom appointments, home visits and phone consultations is live today and is a separate product: see Calendar and booking. Video meeting booking is part of IBIOS Meet, which is rolling out to founding members.

How is IBIOS Meet different from meeting reports and live translation?

Meeting and call reports are a separate product that is live today: IBIOS writes reports and briefings from the recordings your phone provider or GoHighLevel already makes. See Meetings and call reports. IBIOS Meet is the video meeting itself, and it is built and rolling out to founding members.

Live translation is also a separate page: live translation. It is planned for after IBIOS Meet and IBIOS Assist are live, and no language list, speed or accuracy figures have been published.

How will recording and consent work in IBIOS Meet?

Recording is designed to be optional. It is meant to start only after everyone in the meeting has been told and has agreed, and a meeting with no recording is the normal case. Founding members can see exactly what it does before they rely on it.

If you need help with a customer’s screen rather than a meeting, that is IBIOS Assist. All three support tools are explained on the IBIOS Support Suite page.

How IBIOS Meet works

  1. Book or start the meeting

From the customer, supplier or job, request a meeting on IBIOS Meet or paste a link to another meeting service. A calendar invite goes out, the guest replies from a page, and clashes with the staff diary are flagged.

  2. The guest joins from a link

The guest joins in a browser with nothing to install and waits, without sound or video, until the host lets them in. Screen share shows a banner while it is on.

  3. Review what came out of it

Afterwards you see a summary with decisions and actions on the record. Any task the AI drafts is a draft that a person confirms or discards.
